As a Meeting Operations Lead, India, you will work independently and support the India region in ensuring the successful delivery of products, services, and programs to the customers of India, the person in this role will also serve and maintain excellent relationships with key stakeholders such as members of the Advisory Council of India, program committee members, community participants as well as potential collaborating organizations and individuals. The tasks are as follows:
Program / Event Management
- Maintain relationships and outcomes as they relate to the Advisory Council of India.
- Coordinate and assist with Community groups of India.
- Facilitate program development for all events with high level, senior volunteers who work in the pharmaceutical and related industry on the process of medical product/drug development.
- Provide advice, guidance and support regarding content, program design and choice of speakers to program committees.
- Work closely with volunteer coordinators in creating high quality programs for DIA members and customers.
- Responsible for creating meeting budget recommendations and overseeing and implementing expenditures to deliver programs within approved budgets.
- Monitor expenditures for program closeout procedures.
- Monitor event participations and exhibitors.
- Oversee customer relations, address customer requests, and provide leadership.
- Plan and coordinate all logistics for the presentation and delivery of programs including program materials, speaker accommodations and presentations, audio-visual support, food and beverage functions and preservations of program content.
- Facilitate and support the promotion of meetings and webinars by working closely with committees and the DIA global marketing department.
- Work constructively with the global departments such as marketing exhibits, IT, customer service and accounting to produce, promote and deliver high quality meetings and training.
- Attend assigned meetings, assure delivery of the planned program including set up and administration of attendee pre-registration, onsite registration, and staff registration table at program venues to ensure all participants and exhibitors receive highest quality customer service; oversee all program operations from registration table.
Finance/Accounting
- Ensure business contracts for program-related vendors and India office maintenance are legal, cost-effective, and properly executed.
- Monitor and oversee the execution of transactions, review of weekly Expense and Petty Cash reports, monitor the recording in the accounting system of all office cash expenses.
- Ensure that entries related to Customer and orders are entered in Personify, DIA’s association management system with accounting interface.
- Analyze data and create reports related to DIA India meeting and event performance for specific events and for overall annual financial performance.
- Assist with the filing of all the Statutory Government compliances.
- Coordinate with the RBI and the banks for compliance of FEMA.
- Oversee all the updates provided to Finance in DIA Headquarters.
- Oversee all expense and revenue information for annual budgeting purposes.

- A Bachelor’s Degree, in a scientific or business field, graduate degree preferred.
- Minimum 10 years’ experience delivering major professional conferences with increasing responsibility.
- Minimum 5 years’ experience in a supervisory/management role.
- Strong computer skills: Microsoft Windows, MS Word, Excel, PowerPoint, SharePoint.
- Fluent in English. Proficiency in other languages a bonus.
