Facilities Management – Work Dynamics India) What this job involves: Leading on-site operations Are you a pro at giving on-site support Working with a team, you'll be responsible to oversee the day-to-day client activities meeting deliverables and adding quality to services at multiple sites as JLL SPOC for client ensuring adherence to standards agreed as a part of SOW with client for the account.
You'll also implement building procedures and performance measures as agreed with Client and with effective monitoring ensure that they are always maintained. Below are detail Goals and responsibilities for this position.
- To ensure Facility Upkeep and maintenance works are tracked effectively with team coordination and meeting schedules as per standards.
- You will be single point of contact for client from JLL for all facilities in city
- Ensure Upkeep Schedule and Execution as per the schedules and team adheres to required documentations.
- Direction of daily/Weekly work at site to the staff by struct monitoring and trainings / inductions as required.
- Ensure Cafeteria Management related to hygiene and food safety.
- Follow Building Inspection Plan as per the process and track all open observations with regular communication with client for snag closures.
- Govern Daily Walk around for all locations and ensure structured connects with client SPOC's
- Manage Engineering Operations as per the defined SOW's and SOPs and to ensure 100% uptime of all equipment's present in the facility
- Ensure Environment, Health and Safety practices as per standards.
- Managing Client/VVIP Visits and Walkthroughs with effective coordination and monitoring with site team / client SPOC's and Business Team.
- Delivering and adhering to the agreed KPI and SLAs with maintaining proper artifacts to avoid deviations.
- Ensure Incidents are managed and communicated as per the escalation matrix as agreed timelines with proper analysis and RCCA tracked / actioned till closed.
- To Ensure effective coordination with LL team and client vendor partners for deliverables/ closing of site activities and highlight challenges.
- To ensure Preventive and Breakdown Maintenance (52 Weeks Planner) are adhered also cleaning calendar / activities are tracked.
- Effective monitoring of all Functional Areas - Reception, Helpdesk, Mailroom, Key room, BMS, Wellness, Gym, Recreation etc with coordination with respective SPOC's
- Vendor Management – ensuring proper governance structure to track deliverables as per SOW/SLA specially manpower management, compliances by regular meetings and connects.
- Follow Business Continuity Management process and adherence to process standards .
- Perform Daily/Weekly/Monthly checks for site operations – Gap Identification and closures
- Implementation and Use of Technology Tools and Operations and analysis reports submission
- Prepare and track Risk Register for sites and review for closures
- Ensure timely submission of all weekly updates, monthly reports ( MIS, MMR ) as per agreed timelines and complete SLA reviews
- Team Management - Managing team with effective communications, appreciating efforts and growth plans ensuring we have required HC on site.
As a part of Digital Initiative, you are required to involve in Implementation and Use of Technology Tools by JLL and ensure its operations and further periodic analysis is done and reports submission to client
This position needs a good analytical skills to ensure all data collected as part of checklist / Log sheets is analysed while preparing Scheduled reports like – MIS , MMR , Facility Dashboards as part of SLA and are submitted on time and monthly Review Meetings are completed with client leads.
You need to work closely with service partners / adhoc vendors for effective management of all deliverables and monitor performance on site with timely highlighting challenges to SCM Lead / Account Director.
Coordinate with client SPOC for all adhoc project works, prepare BOQ/SOW and get proposals from vendor partner for budgeting purpose.
This job will also entail the question 'How do I ensure the safety of my colleagues' You will do this by promoting adherence to health and safety standards.

Likewise, you'll need to be proactive and engaging; and make sure that the clients' expectations are met each and every time. You will also be the go-to person for any facilities-related concerns.
Keeping an eye on budget and contracts Do you have a solid background in finance management As the person in charge, you will take care of the site's financial operations. Also part of your job is to coordinate with vendors and suppliers, and make sure that they deliver quality work practices according to the contract, and at the right cost. You also have to ensure budgets are managed for all activities and no deviations to it.

You'll also need to be a goal-oriented individual who's an ace in health and safety requirements, vendor management and property technical systems management along with handling Soft Services operations at site.
