Job Role: Senior Administration Executive
Location: Thane
Who are we looking for :
- We are looking for someone with a proven work experience as a senior administrative executive, or executive administrative assistant
- In-depth understanding of office management and daily operations
- Hands on experience with MS Office with aptitude to learn new software and systems
- Working knowledge of office equipment
- Excellent verbal and written communication skills
- Strong organisational and time-management skills
Top 3 Daily Tasks:
Office Management:
- Overseeing day-to-day office operations.
- Managing office facilities, including space planning, maintenance, and safety.
- Ensuring a clean, organized, and productive work environment.
Vendor Management:
- Identifying and managing relationships with vendors and service providers.
- Negotiating contracts and agreements for services like cleaning, maintenance, etc.
- Ensuring vendors comply with agreed-upon terms and quality standards.
Budgeting and Expense Management:
- Developing and managing the annual administrative budget.
- Tracking and controlling expenses related to facilities, supplies, and services.
Minimum work experience is required:
- 8 - 10 years of administrative experience
- Bachelor's degree in business administration, office management, or related field

What would you be expected to do:
- Scheduling and organizing events, including arranging travel arrangements and preparing agendas
- Maintaining inventory and assets
- Coordinating with departments to plan and organize special events such as corporate retreats or charity events
- Maintaining and updating petty cash on a weekly, monthly and quarterly basis
- Planning and arranging meetings, events, and conferences for executive teams to help them reach their goals
- Organizing employee records and other documents for executive review
- Managing travel desks and arrangements for senior executives - including flights, accommodation, and transportation.
- Coordinating activities between different departments like HR, Tech, Finance etc. to ensure that projects meet deadlines and goals are met within budget
- Overseeing the implementation of new policies and procedures to ensure they are carried out effectively
- Planning and coordinating administrative procedures and systems and devising ways to streamline processes.
