Roles and Responsibilities;
The role 'Supplier Registration Specialist' or 'Supplier Registration Coordinator' Involves facilitating the registration process and ensuring that all necessary information is accurately submitted to establish a potential supplier relationship with the client or organization.
- Registration: Completing the registration process as prospective suppliers by providing or entering the data from a source document into a client portal/environment. Monitoring data feeds and ensuring timely data entry with high attention to detail.
- Documentation Review: Ensure that all required documentation, such as business licenses, certifications, insurance, and tax information, are accurately submitted and meet the client's or organization's requirements.
- Data Entry: Accurately input and update supplier information into the client's or organization's registration portal or database.
- Data Verification: Performing data verification to ensure records are accurate and complete. Working with the reports to cross-check the data.
- Information Verification: Verify the authenticity of the information provided during registration, and validation of credentials and qualifications.
- Compliance: Ensure that as a prospective supplier if meet all compliance and regulatory requirements, including industry-specific regulations and client-specific standards whiel registration.
- Communication: Work closely with Sales and Pre-Sales team. Maintain clear and timely communication with Sales and other Pre-Sales team members on Pre-Sales initiatives
- Follow-up: Track the progress of supplier registrations and follow up internally to obtain any missing or incomplete information.
- Record Keeping: Maintain accurate and organized records of all the client registrations and related documentation.
- Data Security: Handle data/information with strict confidentiality and ensure that data security protocols are followed.
- Audits: Perform audits of own work or that of others to ensure conformance with established procedures. (2 years and above experience)
- Problem Resolution: Address any issues or discrepancies that arise during the registration process and work to resolve them efficiently.
- Reporting: Generate reports and summaries related to client registrations and their status for internal use or management review.
- Process Improvement: Continuously evaluate and improve the client registration process for efficiency and effectiveness. (2 years and above experience)
- Training and Mentoring : Providing guidance and training to new joiners on the registration process and requirements. (2 years and above experience)
- Audit and Monitoring: Conducting audits and monitoring to ensure ongoing compliance with registration requirements.
- Business Acumen : Understanding the organization's goals and objectives related to supplier registration.
