The Opportunity Litera is currently seeking a seasoned Senior Manager/Manager, Facilities & Administration. This individual will be entrusted with the critical responsibilities of maintaining a secure and comfortable physical work environment that fosters productivity, while simultaneously developing and executing strategies aimed at enhancing employee morale, satisfaction, and overall engagement.
Role & Responsibilities Facilities Management - Delegate cleaning and maintenance responsibilities to team members.
- Run routine maintenance inspections.
- Monitor interior and exterior areas of the building for cleanliness and general conservation.
- Prepare and implement project budgets and timeframes.
- Comply with all health and safety policies and procedures.
- Support maintenance and installment work as needed.
- Ensure all building facilities adhere to proper safety standards and cleaning procedures.
- Maintain equipment and building provisions to meet health and safety requirements.
- Organize and plan building installments and refurbishments.
- Supervise facilities staff and communicate with external contractors and vendors.
- Handle insurance contracts.
- Keep building and all facilities up to code and accurately follow maintenance protocol.
Employee Engagement: - Facilitating Team Building Activities: These could be in-house activities or off-site retreats aimed at improving team collaboration and morale. Should handle logistics, such as transportation, food, and materials needed for the activities.
- Organizing Social Events: Organizing regular social events to boost employee engagement like holiday parties, team lunches, and outings, Virtual Diwali Celebration, NGO events.
- Procurement & distribution of corporate gifts & employee appreciation Items.
- Employee Welfare Events: These might include health and wellness activities, volunteering opportunities, or family fun days. Should handle all logistics to ensure the events run smoothly.
- Staff Meetings: These are regular or ad-hoc gatherings where updates, news, and future plans are discussed manager is responsible for scheduling, preparing the agenda, sending invites, setting up the meeting space, and sometimes, recording minutes.
- Employee Recognition Events: These events celebrate the achievements of individual employees or teams, coordinate the awards, certificates, gifts, and other logistics.
- Implementing Employee Feedback: playing crucial role in implementing employee feedback regarding the workplace environment. By actively seeking employee input and making necessary changes.
Travel Desk Management: - Booking and Managing Travel: This includes booking flights, hotels, ground transportation, and other travel-related needs for employees.
- Travel Policy Compliance: Ensuring all travel arrangements adhere to the company's travel policy, which may include guidelines on budget, preferred vendors, and travel class.
- Travel Expense Management: This involves managing and tracking travel expenses to ensure they stay within the budget.
- Itinerary Planning: Creating detailed travel itineraries, including flight details, hotel check-in/check-out times, meeting schedules, and other activities.
- Emergency Support: Providing support during travel emergencies, such as flight cancellations or delays, lost luggage, or medical emergencies.
- Visa and Passport Management: Assisting with visa applications, renewals, and ensuring passports are valid for travel.
