Mission The Inventory Manager is responsible for overseeing all aspects of inventory management, vendor relations, billing, payments, order fulfillment, and administrative functions. This role requires proficiency in utilizing Inventory software to streamline inventory processes and facilitate efficient operations, as well as the ability to manage procurement, purchasing, and maintenance tasks on behalf of functional heads. Responsibilities: Inventory Management: • Manage stock levels, including receiving, storing, and organising inventory items. • Conduct regular inventory audits to ensure accuracy and minimise discrepancies. • Develop and implement inventory control procedures to optimise stock levels and minimise waste. • Monitor inventory movement and identify opportunities to reduce excess inventory and improve turnover. Vendor Management: • Establish and maintain relationships with vendors and suppliers. • Obtain quotes from vendors for products and services, negotiating favourable terms and pricing. • Coordinate with vendors to ensure timely delivery of goods and services. • Address any vendor-related issues or concerns in a timely and professional manner. Billing and Payments: • Process invoices and reconcile billing statements with purchase orders and receipts. • Coordinate with accounting department to ensure accurate and timely payment of bills. • Monitor accounts payable and receivable to ensure timely collection and payment of invoices. Order Fulfilment: • Oversee the processing of customer orders, ensuring accuracy and timely fulfilment. • Coordinate with warehouse and shipping teams to schedule and dispatch shipments. • Track and monitor shipment status, resolving any issues or delays as needed. • Implement measures to improve order fulfilment efficiency and customer satisfaction. Inventory software Utilisation: • Utilise Inventory software to manage inventory, track stock movements, and generate reports. • Maintain accurate records of inventory transactions, including receipts, transfers, and adjustments. • Train team members on using Inventory software effectively and provide ongoing support and guidance. Procurement and Purchasing: • Make purchases on behalf of functional heads, ensuring compliance with budgetary constraints and procurement policies. • Source and procure goods and services required for business operations, negotiating favourable terms and pricing. • Coordinate with suppliers to ensure timely delivery of purchases and resolve any issues or concerns. Administrative Support: • Assist with administrative tasks, including procurement, purchasing, and maintenance activities. • Coordinate repairs and maintenance of premises and equipment, liaising with vendors and service providers as needed. • Support functional heads with administrative duties, including scheduling, correspondence, and document management. Qualifications: • Bachelor's degree in business administration, supply chain management, or a related field. • Proven experience of 5 years or more in inventory management, vendor relations, and administrative roles. • Working knowledge of inventory management software (e.g. ERP) • Strong analytical and problem-solving skills, with attention to detail. • Excellent communication and negotiation skills. • Ability to multitask and prioritise tasks in a fast-paced environment. • Strong organisational and time management skills.Job tags
