Overview of Role

The Administrative Assistant plays a pivotal role in providing high-level administrative support to the Administrative Team of 66degrees, with primary support to the VP & Accounting Manager. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to work in a fast-paced and dynamic environment. Additionally, as an Administrative Assistant you will play a crucial role in ensuring the smooth and efficient operation of the soon to open Mysore & Bangalore office while providing comprehensive support to the overall team.

Responsibilities

We are looking for an Administrative Assistant to be based in our office. This a hybrid position, with an expectation of coming into office four days per week.

A 66degrees Administrative Assistant responsibilities and duties are as follows:

Maintain a functional and organized office environment.

Manage office supplies, ordering new items as needed and ensuring that inventory levels are adequate. Monitor office equipment and arrange for repairs or replacements.

Maintain and manage the executives' calendars, scheduling meetings, appointments, and events to ensure efficient use of their time.

Coordinate complex travel itineraries, including flights, accommodations, ground transportation, and other logistics, while considering the executives' preferences and company policies.

Coordinate meetings, events and travel for quarterly board meetings and offer concierge service to the board of directors and executive leadership teams at these events.

Plan and execute company events, meetings, workshops, and other gatherings. Manage logistics, catering, and any necessary arrangements.

Handle sensitive information with discretion and maintain a high level of confidentiality regarding company matters and executive communications.

Liaise with vendors, contractors, and service providers. Negotiate contracts, oversee services, and manage relationships to ensure quality and cost-effectiveness.

Develop and implement streamlined processes to enhance productivity and effectiveness.

Qualifications

1-4 years experience in administrative roles reporting directly to upper management.

Superb written and verbal communication skills.

Strong time-management skills and the ability to organize and coordinate multiple projects at once.

Proficiency in Google Workspace and other office productivity tools, with aptitude to learn new software and systems.

Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge.

Ability to keep company information confidential.

Experience overseeing budgets and expenses.

Experience developing internal processes and filing systems.
