Job description
Our client is seeking a highly qualified and experienced Site Administrator for their manufacturing facility in Malacca. In this non-technical role, you will be responsible for overseeing the overall business operations and management of their Malacca facility . You will be in charge of the overall administrative, legal & compliance tasks determinant for the effective management of the business & operations. The Site Administrator will be the primary local point of contact reporting directly to HQ CEO/COO in Europe.
The ideal candidate will possess strong leadership, communication, and organizational skills, as well as a proven track record in non-technical management roles within manufacturing sector.
Key Responsibilities: Key Member of Management Team: - Provide strong leadership within the manufacturing and quality teams, fostering a culture of teamwork, accountability, and continuous improvement.
- Recruit, train, and develop staff, ensuring the team is equipped to meet production and operational goals.
- Motivate and inspire employees to achieve performance targets and maintain a positive work environment.
- Unite the Malaysia team around commons objectives based on our clients values and culture.
Administrative Management: - Oversee administrative functions, including procurement, inventory management, and facilities maintenance.
- Ensure efficient and cost-effective administrative processes that support manufacturing operations.
- Manage local vendor relationships and negotiate contracts to secure favorable terms (leasing, banking, auditors, others suppliers)
- Any special ad hoc projects required by management
- Ensure company licenses and approvals are maintained and up to date
Finance: - Being the local point of contact for accounting / Audit / Financial reporting related activities
- In charge of specific finance project as requested by Finance HQ
HR and Talent Management: - In collaboration with the HR manager oversee recruitment, employee onboarding, performance evaluations, and training programs.
- Handle employee relations, conflict resolution, and disciplinary actions as needed.
- Develop and maintain HR policies and procedures to ensure compliance with employment laws.
Cost Management: - Manage the manufacturing budget and control costs to achieve financial targets.
- Identify opportunities for cost reduction and process improvements to enhance profitability.
- Ensure non-value-added activity is reduced in all processes
Reporting and Documentation: - Maintain accurate records of production activities, financial data, and other relevant information.
- Be the local point of contact with HQ in Europe
- Prepare regular reports for senior management to communicate performance and progress.
Qualifications: - Bachelor's degree in business management, operations management, or a related field (Master's degree preferred).
- Minimum 5 years in a similar role
- Proven experience in Plant or Factory administration roles within a manufacturing environment: HR, Administrative and day to day non-technical plant tasks.
- Strong leadership and interpersonal skills with the ability to motivate and lead teams.
- Excellent problem-solving and decision-making abilities.
- Exposure to manufacturing processes and industry best practices.
- Familiarity with relevant safety and quality standards.
- Proficient in the use of computer software and manufacturing-related tools.
- Exceptional communication and negotiation skills.
- Results-driven with a focus on achieving operational excellence.
