Key Responsibilities:
Travel Planning and Coordination:
Collaborate with the team to determine travel needs and preferences be present for Events.
Research, plan, and book all travel arrangements, including flights, accommodations, transportation, and activities.
Ensure all travel itineraries are accurate and up-to-date.
Handle last-minute changes or travel disruptions effectively.
Expense Management:
Track and manage travel expenses, including receipts, reimbursements, and credit card statements.
Prepare expense reports and ensure timely submission for approval.
Documentation and Information Management:
Maintain organized records of travel documents, passports, visas, and other essential paperwork.
Provide the team with necessary travel information, including weather forecasts, local regulations, and emergency contacts.
Communication:
Serve as the primary point of contact for all travel-related inquiries and updates.
Liaise with airlines, hotels, and other service providers to resolve any issues promptly.
Keep team informed of any travel-related changes or delays.
Manage and screen phone calls, emails, and correspondence.
Calendar Management:
Coordinate travel schedules with the team and manage personal calendars.
Ensure that travel plans align with their professional commitments.
Travel Support:
Assist with, organizing travel essentials, and preparing necessary documents.
Provide on-call support during the trip for any emergencies or unforeseen situations.
Meeting Support:
Prepare agendas, documents, and presentations for meetings.
Attend meetings, take minutes, and distribute follow-up action items as needed.
Maintain organized electronic and physical filing systems.
Handle confidential information with discretion and professionalism.
