Job description

ROLES & RESPONSIBILITIES:
We are looking for a Senior Executive position to perform a variety of administrative tasks and will
be reporting to Director.
- Schedule departmental meetings; assist in the preparation and distribution of meeting agendas
and materials.
- Transcribe source material, prepare documents, reports, tables, and charts; distribute as
appropriate.
- Prepare, reconcile, and submit expense reports.
- Maintain paper and electronic filing systems.
- Maintain confidential and sensitive information.
- Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
- Complete a variety of special projects including creating PowerPoint presentations, financial
spreadsheets, special reports, and agenda material.
- Support the Project Team for the on-time release of PO to vendors and payment followup, with
project status update with photos of the site
- Ensure to log the customer calls and allocate Engineers for the service call attending and ensure for
the material disptach with faulty materials follow up
- Ensure for the AMC call allocation involving on time allocation, call report collection and
submission of Invoice and renewal of quote with the proper documentation & database
maintenance.
- Ensure for the O&M call allocation involving on time allocation, call report collection and
submission of Invoice and renewal of PO, Vendor Invoice collection & payment follow up with the
proper documentation & database maintenance.
- Processing of Engineers Advance request, collection of the Claim submission, verification of the
Claim forms and submission of accounts, communicate to the Engineers with the forms and include
in the Budget and maintain the reports
- Other additional and/or alternative duties as assigned from time to time, including supporting
Team and Director as needed.

Requirement:
- Bachelor's degree preferred.
- Three to five years' prior experience in assisting
- Excellent computer skills, including the MS Office (Outlook, Word, PowerPoint, and Excel) -
Exceptional writing, editing, and proofreading skills
- Excellent organization and time-management skills
