Summary:
We are seeking a highly organized, adaptable, and confident Executive Assistant (EA) to join our dynamic team and provide exceptional support to the CEO.
Responsibilities:
- Calendar and Schedule Management:
- Manage the CEO's complex schedule, including prioritizing appointments, meetings, and deadlines.
- Anticipate potential conflicts and proactively reschedule or adjust as needed.
- Act as a gatekeeper, screening inquiries and requests while ensuring the CEO's time is used effectively.
- Prepare agendas and briefing materials for meetings and presentations.
- Communication and Correspondence:
- Handle all incoming and outgoing communication for the CEO, including phone calls, emails, and correspondence.
- Draft and compose professional letters, memos, presentations, and other documents as needed.
- Filter and prioritize information, ensuring the CEO receives only the most critical and relevant updates.
- Project Management:
- Manage special projects as assigned by the CEO, ensuring timely completion and alignment with company goals.
- Conduct research and gather information to support the CEO's decision-making processes.
- Collaborate with various departments to facilitate project progress and achievement of objectives.
- Additional Responsibilities:
- Manage the CEO's office operations, including ordering supplies, maintaining files, and coordinating with administrative staff.
- Stay informed about industry trends and relevant news to anticipate potential issues and opportunities.
- Proactively identify ways to improve efficiency and effectiveness within the CEO's office.
Qualifications:
- Minimum of 5 years of experience as an Executive Assistant or in a similar role.
- Strong organizational, time management, and multitasking skills.
- Excellent communication, interpersonal, and written communication skills.
- Ability to work independently, prioritize tasks, and meet deadlines under pressure.
- Proactive problem-solving and critical thinking skills.
- Discretion and ability to maintain strict confidentiality.
- Proficiency in Microsoft Office Suite and other relevant software tools.
