Job description
In this role, you will be responsible for supporting our administration duties, including acting a s the first point of contact for our clients, visitors, and team members.
Job Timings:
Key Responsibilities:
i) Managing the Office Reception
- Presentable: Well dressed and presentable. Welcome visitors and manage the reception area.
ii) Calendar and Schedule Management:
- Efficiently manage the Senior Management's calendar, schedule appointments, and coordinate meetings.
- Anticipate and prepare materials required for upcoming meetings.
iii) Communication Management:
- Act as the primary point of contact for internal and external communication on behalf of the Senior Management.
- Draft and edit emails, letters, and other correspondence with precision and professionalism.
iv) Meeting Coordination:
- Plan, coordinate, and execute high-level meetings and events, both internal and external.
- Prepare agendas, take minutes, and ensure timely distribution of relevant materials.
v) Travel Management:
- Plan, coordinate, and execute all travel arrangements for Senior Management
vi) Office Management:
- Oversee the day-to-day operations of the office, including supply management and coordination with support staff.
- Liaise with other executives and departments to facilitate smooth workflow.
vii) Client Management:
- Client follow-ups
Ensur - ing timely receipt of fee from clients
viii) Document Preparation and Review:
- Draft, proofread, and edit various documents, reports, and presentations.
- Conduct research and compile information for reports and presentations.
Qualifications / Requirements:
i) Education:
- Bachelor's degree in business administration, Management, or a related field is preferred.
ii) Experience:
- 3 years of executive assistant or relevant administrative experience, will be preferred.
- Experience supporting high-level executives, is highly desirable.
iii) Organizational Skills:
- Exceptional organizational and multitasking skills, with acute attention to detail.
- Ability to prioritize tasks effectively and meet tight deadlines.
iv) Communication Skills:
- Outstanding written and verbal communication skills.
- Ability to communicate effectively with executives, board members, and other stakeholders.
v) Tech Proficiency:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant office software.
vi) Discretion and Professionalism:
- High level of professionalism, integrity, and the ability to handle sensitive information discreetly.
- Strong interpersonal skills with the ability to interact with diverse personalities.
