Job Description
The Service Asset & Configuration Manager will be responsible for the day-to-day operational delivery of the ITIL process to support Configuration and Asset Management. They will hold responsibility for Hardware Asset Management (including discovery, inventory and maintenance of records).
The post-holder will be responsible for undertaking research and development activities to underpin and support future IT procurement of both hardware and related assets. They will be required to maintain and track an inventory of Experian IT assets and produce relevant reporting and documentation.
They will need to apply their initiative and experience, working independently and effectively, to develop CMS functionality and processes within the Service Management Software toolset application, ensuring alignment with other systems and services in accordance with Experian's IT Strategy.
The post holder will work closely with other members of the IT Service Management team to develop the Service Management toolset application, undertaking ongoing Continuous Service Improvement activities, and liaising with all ITS staff to ensure that processes and procedures are embedded and managed effectively.
Key Responsibilities/Activities
- Proposes and agrees scope of the Configuration Management processes, function, the Configuration Items that are to be controlled, and the information that is to be recorded.
- Develops, documents , and publishes Configuration Management standards, Configuration Management Plans and procedures, ensuring that these documents are updated as and when appropriate.
- Working in conjunction with HR, successfully recruiting replacement and additional members of the team
- Managing members of Configuration Management team on a day-to-day basis, including conducting regular performance review meetings with direct reports
- Ensures the defined Configuration Management processes and procedures are adhered to by staff carrying out the tasks of Configuration Management and where appropriate initiates appropriate training to rectify non-conformance.
- Initiates either internal or external audits to check that the physical IT inventory is consistent with the CMDB/CMS and takes appropriate corrective action
- Assists internal or external auditors to audit the activities of the Configuration Management team for compliance with defined procedures. Ensures that where appropriate, corrective action is undertaken
- Continuously evaluates the existing processes and procedures to ensure that Configuration Management is being carried out in the most efficient and effective manner and initiates appropriate corrective action
- Continuously evaluates the existing Service Management tools to ensure that it is are configured to meet the requirements of the defined process and procedures and when changes are made to the process and procedures ensures that this are implemented within the Service Management tool
- Investigates, recommends and implements ways in which supporting tools (such as discovery tools) can assist in ensuring that data stored within the CMDB is qualitative and correct
- Ensures that Configuration Management provides appropriate management information reports for other processes such as Problem Management, Change Management as and when required .
- Build, maintain Service Maps.
- Take responsibility for Configuration Management and IT hardware Asset Management processes and procedures.
- Manage the inputs and outputs to the IT Service Management Software toolset CMS
- Undertake ongoing Continuous Service Improvement (CSIP) activities for the process
- Conduct research and development activities to underpin and support future IT procurement of hardware and related assets.
- Monitor internal procedures to ensure compliance with Experian IT organisation procedures.
- Assists internal or external auditors to audit the activities of the Configuration Management process for compliance with defined procedures
- Maintain detailed and accurate inventory information (current and historical) for Experian IT hardware assets, and track and report changes to inventory.
- Establish and maintain hardware asset control procedures and standards (across wider Experian IT organisation) to ensure inventory changes are tracked
- Undertake regular audit activities to ensure the accuracy of inventory
- Ensure other IT provider teams across Experian are gathering inventory information accurately by providing training, guidance and oversight.
- Stay current in knowledge of changes in technology, licensing and contracts governing Experian's IT assets.
- Act as a consultant to other IT teams as a resource to solve asset and hardware issues
- Comply with the change management process, taking account of business requirements and providing adequate notice and information for users.
- Pro-actively identify risks and take steps to mitigate these
- Collaborate with business constituents, project teams, IT staff and stakeholders as needed to ensure that processes and procedures are embedded and managed effectively.
- Liaise effectively with all staff to ensure Configuration Management and Hardware Asset Management processes and procedures are embedded and properly managed
- Liaise with the IT Service Owners and Service Leads to ensure projects and day-to-day activities are delivered as part of the core and local service provision using defined ITIL processes .
- Promote and adopt best practice
- Participate in internal and external networks to establish effective communications channels.
- Maintain up-to-date knowledge of external best practice and changes in new technolog y , and incorporate into working practices
- Any other duties commensurate with the responsibilities/grade of the post
Qualifications
- Knowledge of Hardware & Software Asset Management processes and procedures
- Knowledge of technology purchasing processes and procedures
- Defining, measuring and regularly reporting on KPIs and metrics for IT Support services
- Ownership of the UK&I Configuration Management processes with regular reviews to drive continual improvement
- Effective risk management
- Initiating and building effective relationships, both internally within Experian and with external suppliers.
- Agreeing clear objectives, meet deadlines and problem-solve in a pressured environment.
- Implementing and maintaining service reporting systems using agreed ITIL-based management processes across the organization.
- Ability to use initiative and exercise judgment in determining the correct course of action.
- Communicating effectively with all staff and users of differing experience, requirements and seniority.
- Relationship and stakeholder management
- Ability to analyse current business practices and identify areas for improvement
- Preferably relevant regulatory/industry qualifications.
- Outstanding and demonstrable working knowledge of Service Operations, ITIL and ITSM practices and how they have been adapted to a fast paced, Global business
- Proven ability to implement a culture of continuous improvement ensuring clear identification of issues through to problem resolution in line with business goals
- Well-developed personal organisation and time management
- ITIL V3 or V4 Foundation Qualification
- ITIL V3 RCV or Service Transition Capability qualification desirable
- Relevant IT qualifications
