TEACHER POOL is looking for Executive Assistants (Female candidates) for the Director of the School.

Job Title: Executive Assistant

Job Purpose: Enhances the effectiveness of the Director of the School by providing information management support.

Reports to: Director of School

Skills Required

• Read and understand correspondence, school documents, and IB documents such as the technical pages of the subject guides. Is also able to create summaries or charts and tables from what he or she has read.
• Draft emails based on a description of what is required.
• Work with Google suite, especially, docs, sheets, slides, forms, and calendars. Here are some specifics:
• Create forms with appropriate response types based on the nature of the question
• Create presentations on slides based on the description of a concept that has embedded links etc and is pleasing to look at
• manage multiple processes via multiple calendars on Google Calendar
• Can organize Google folders and sub-folders with various sharing permissions and appropriately named and organized files
• Interpret basic data from charts and tables: percentages, averages, fractions
• Understand how to convert percentages, create averages, convert fractions, etc. on Excel and otherwise
• Work with Microsoft Office: Word, PowerPoint, Excel
• Talk to parents and contacts outside the organization over the telephone with appropriate levels of comprehension, politeness, and language proficiency.
• During events work with processes and systems

Duties

• Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
• Managing day-to-day operations of the Director of the School
• Assist the Director of the School in coordinating and communicating work with the teacher team and external stakeholders
• Manage schedules and deadlines pertaining to the IB Programme on guidance from the Director. Maintaining appointment schedules by planning and scheduling meetings, conferences, teleconferences, and travel.
• Organizing and maintaining files and records; managing projects and conducting research
• Preparing, editing, and analysing correspondence, reports, and presentations
• Collecting and analyzing information, initiating telecommunications.
• Welcomes guests and parents by greeting them, in person or on the telephone; answering or directing inquiries.
• Maintains confidence and protects operations by keeping information confidential.
• Completes projects by assigning work to staff & following up on results.
• Secures information by completing database backups.
• Visiting any branches as and when required
• Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
• Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
• Contributes to team effort by accomplishing related results as needed.

• Scheduling Meetings.
• Maintaining documentation of the Meetings.
• Preparation of Minutes of the Meeting.
• Managing guest relationships of Management.
• Coordination for new associate additions.
• Doing research on provided topics.
• Managing an active calendar.
• Handling correspondences.
• Assist in Event organization of the company
• Follow-up on the work assigned by the Management.
• Reporting the list of Pending work to the Management.
• Preparation of Presentations/ AgendaEUR(TM)s for the Board Meetings.

Travel Desk Tickets booking for the school staff's trips.

Processing the Visa & the accommodation if required.
