Job Title: Personal Assistant
Job Duration: 4 months contract, with the option of extending the contract based on the business requirements.
Location : Rueil-Malmaison, France
Work timings : Work from home policy is 2 days a week and 3 days from office- total working hours will be 35 hours per week.
Employment type: Individual contractor

Job duties are
The Executive Assistant/Personal Assistant will report to the Site Leader and General Manager in France. This position will play a meaningful role in the Site Committee team, helping the team to execute strategic priorities consistently and with high quality.
The Executive Assistant role is designed to bring efficiency, process, and standardization to the organization and as such, will work alongside each of and interact with leaders across branches globally. In the role of the Executive Assistant, one must be able to work and adapt in a fluid, fast-paced environment.
Day-to-day functions
- Organizational Alignment: Run recurring strategic and operational meetings, interlocks with business units, staff meetings, business reviews, and management quarterly offsite, to ensure shared context, awareness, alignment, and well as tracking and execution of actions. Directly responsible for overall planning and execution of programs, including end-to-end logistics, working with the Site Leader and the General Manager to determine objectives and themes, working with the management team to collect and prepare content, support delivery, and solicit and organize employee feedback for areas of improvement
- Program Management: Orchestrate overall internal program execution in collaboration with individual product/services/project managers. Consistently follow through with management and all stakeholders. Identify risks to project execution and effectively manage those risks; proactively raise prioritization and scheduling tradeoff decisions and escalate and identify alternate options as appropriate. Be prepared to step in and actively project manage top-level initiatives where needed
- Organizational Health: Ensure the management team is setting effective goals, communicating with clarity and transparency to the organization, and taking effective action on team culture topics. This could include but is not limited to team surveys, training, communication, etc
- Communication & Reporting: Handle internal and external communications for the Site Leader and General Manager together with the Comms team, manage internal events: broadcasts, all staff meetings including catering
- Administrative assistance: Manage the executives' calendar, expenses, travels, signatures, and internal tools with prioritization
Our expectations of the candidate
- 3-5 years of experience as an Executive Assistant or Sales department support
- Fluent in English and French
- Ability to work with Excel and PowerPoint, good with data, and passionate about sales
- Strong sense of confidentiality
