Job description
JOB PURPOSE: The jobholder provides administrative and operational support to the Director of Department. The role requires an individual who is highly organized, has excellent communication skills, and can manage multiple tasks effectively.
KEY ACCOUNTABILITIES
- Provide administrative support to the Head of Department, including managing calendars, scheduling meetings, and making travel arrangements
- Coordinate departmental activities and initiatives, such as training programs, project schedules, and upgrades
- Manage and track departmental budgets and expenses
- Draft and edit reports, presentations, and other materials for the Head of Department
- Serve as a liaison between the Head of Department and other departments within the organization, as well as external partners and vendors
- Provide support for special projects, including conducting research, analyzing data, and preparing recommendations
- Maintain accurate and up-to-date records and files for the Department
- Assist with other administrative duties as needed
Required Qualifications
- Bachelor's degree in business administration, engineering, or a related field
Preferred Experience
- 3-5 years of experience in an administrative support role
Job-Specific Skills
- Strong organizational, communication, and interpersonal skills
- Proficiency in Microsoft Office Suite, including Excel, PowerPoint, and Word
- Ability to manage multiple tasks and deadlines in a fast-paced environment
- Familiarity with engineering terminology and concepts is a plus
- Discretion and the ability to maintain confidentiality is essential
