Job description
INSEAD"s Faculty Administration and Support team supports our 159 faculty across 4 locations by providing administrative and teaching support. We are seeking a Faculty Payments Administrator to join the Faculty Administration and Support department. This is a full time, permanent position to be based at our Europe Campus in Fontainebleau, France .
About the Job
Reporting to the Associate Director Faculty Administration, you will be responsible for recording and monitoring contractual loads and teaching load reductions globally for our faculty and will manage overload decisions for our faculty who are based in France and America. In addition, you will prepare the monthly preliminary payroll and the annual salary review letters for our faculty, as well as regularly liaising with the French payroll team on pay-related issues.
Your Responsibilities
- Prepare monthly preliminary payroll table including payments for all salaried faculty who are based in France and communicate to HR the relevant elements for America based Faculty. Support Abu Dhabi and Singapore payroll as required. Liaise with the internal HR payroll team and external agencies on pay related matters
- Prepare annual salary letters for all resident faculty globally to communicate outcomes of the annual salary review
- Track faculty contractual load, record credits such as Faculty Development, Reduced Teaching Loads for research, Chair credits, Deans" credits, etc.) globally to ensure correct reporting
- Communicate with faculty for their overload decisions at the year-end closing, ensure compliance with campus regulations and prepare overload memos for payroll for France and America
- Organise the annual Planning and Staffing meetings and prepare/distribute teaching load information for discussion during the meetings
- Allocate off-campus units (OCTs) globally
- Other administrative tasks as required such as supporting with the drafting of resident faculty salaried contracts as required
Requirements
- 3 to 5 years of working experience, ideally in a similar position, preferably in a higher learning environment or a business school. Those with experience in HR may also apply
- Interest in administrative work relating to Faculty Support
- Meticulous, pro-active, and able to complete assigned tasks within set timelines
- Enjoys working with numbers, and tracking data through information systems i.e. Peoplesoft, Interfolio, Faculty Information System
- Excellent organisation and communication skills
- Fluent in English and French, with excellent written and oral communication skills
- Communicate with diplomacy and sensitivity to diverse cultural backgrounds
