The Job:
We are currently recruiting Program Manager to be part of the team managing Hospitality Program for one of the Top Sponsors of Paris 2024 Olympic Games. This position will be based in Paris region, with start on April 1, 2024, and end on August 31, 2024 (Fixed-term contract).
Reporting to the overall Program Director, Program Manager will be responsible for overseeing and managing all aspects of hospitality program of our client during Paris 2024. Your primary focus will be to create enjoyable and engaging experiences for guests attending the Games.
Key Responsibilities:
• Program Planning: Fine tune itineraries and all core functions and activities
(accommodation, F&B, tickets, transportation…). Implement strategies to achieve program
goals and objectives.
• Team Management: Recruit (assist), train, schedule, provide leadership and manage a team
of Games-time Tour Leaders and Guides.
• Resources Allocation: Assist with allocating and managing resources, including rooms,
tickets, meals, activities, personnel, and equipment, to ensure that program is completed
within scope and on time.
• Stakeholder Communication: Maintain clear and effective communication with stakeholders,
including executives, team members, and clients.
• Reporting: Provide regular reports to senior management on the program's progress,
outcomes, and challenges, including daily debriefings during the event.
• Registration and Attendee Management: Manage attendee lists, changes, updates and
address participant inquiries.
• Risk Management: Identify potential program risks, develop what-if scenarios, and
implement contingency plans to mitigate them if required.
• Logistics Coordination: Manage logistical aspects of the program, including itineraries,
catering, AV equipment, room setup.
• Program Execution: Oversee the day-to-day operations and activities of the program,
ensuring it runs smoothly and efficiently.
• Program Collaterals: Assist with collation and distribution of guest program collaterals.
• Guest Experience: Focus on delivering an outstanding guest experience, ensuring that
service quality and guest satisfaction are maintained or improved.
• Quality Assurance: Oversee the quality of work and ensure that projects meet established
standards and objectives.
• Change Management: Adapt to changing circumstances and make adjustments to the
program plan as needed.
• Documentation: Keep comprehensive records of project activities, decisions, outcomes, and
reconciliations
Qualifications and Skills:
• A bachelor's degree in event management, hospitality, or a related field is required. Master's
degree or relevant certifications, such as Certified Meeting Professional (CMP) is a plus.
• 5+ years of proven experience in event planning and management, hospitality, or travelrelated roles.
• A previous Olympic Games or large-scale international sport event experience is a huge plus.
• Proficiency in planning, organizing, and executing events, from conception to post-event
evaluation.
• Excellent organizational and project management skills to ensure all aspects run smoothly,
including timelines and task coordination.
• Effective communication skills to liaise with clients, stakeholders, and team members, both
written and verbal.
• The ability to address issues and troubleshoot on the spot during events.
• Demonstrated ability to provide exceptional customer service and manage guest
expectations.
• Adaptability to changing event conditions and the capacity to work under pressure.
• Understanding and integrating sustainable practices into event planning and management.
• Building and maintaining a network of industry contacts, which can be helpful for sourcing
resources and opportunities.
• Excellent knowledge of Microsoft Excel and PowerPoint; and solid knowledge of other
Microsoft Office Products.
• Fluent in French and English.
• Based in France (preferably in Paris region).
