Job description
Hexagon’s Asset Lifecycle Intelligence division (Hexagon) is seeking an HR Advisor- French Speaking. The successful candidate will be contribution on the areas listed below:
Employee Lifecycle Process:
- Undertake the administration of the complete employee life cycle processes including new hire, role changes, probation reviews, absence and leave management, wellbeing support, performance management review process, compensation administration and leaver process, all across the EMIA region.
- Manage onboarding and off-boarding process including Day 1 Orientations and Exit interviews. Ensure Managers are equipped to welcome new employees and are trained in the Onboarding process to support this.
Employee Relations:
- Acts as the first point of contact for employees and provide advice on HR related matters, handling these effectively or forwarding to the relevant HRBP or HR Manager as required.
- Provide support to HRBP/HR Manager in employee relation matters and process any decisions made by management in relation to HR matters.
- Assist with HR policy and procedure distribution, and upkeep; provide guidance to employees and managers on policies to ensure HR policies and procedures are implemented and understood correctly.
- Ensure employees and managers are trained in using the HRIS system effectively, this may include running training sessions or providing individual guidance.
Record Management:
- Ensure all relevant HR records, including HRIS platform, is up to date, accurate and complies with legislation.
- Administer all HR-related documentation including Contracts of Employment, job changes, maternity and paternity requests, absence and sickness .
- Ensure that all compliance/regulatory pre-employment background checks, right to work checks are completed satisfactorily working along with HRBP to assess any discrepancies.
- Support audit and compliance requests through report and information provision as required.
- Support HRBP/HR Manager with inter-company transfer requests and visa processing using third party supplier.
- HR benefits administration, liaison with external suppliers, registration and updates where possible (country dependent).
- Providing monthly payroll inputs and updates to Payroll team and answering payroll queries.
Reports and HR Analytics:
- Requesting and running reports on HR analytics to provide information and recommendations for discussion to HRBP on all HR aspects such as attrition analysis and absence overview , etc.
- Assist in preparation of presentations for sharing the data to the management.
Generalist HR Support:
- Opportunity to participate in and support global HR projects and change initiatives.
- Provide administrative support to HRBP/HR Manager in organizational change, mergers and acquisitions, legal affairs etc.
- Support in recruitment efforts across EMIA when required.
- Experience of working in an HR Shared Service or HR Advisory role.
- Excellent accuracy and attention to detail.
- Excellent written communication skills in French and English, other languages are preferred.
- Excellent verbal communication including listening skills.
- Excellent Microsoft Office skills, Outlook, Excel, Word, PPT.
- Experience of working on HRIS systems, preferably SAP Success Factors.
- Knowledge of European Labor Laws desirable.
- Strong knowledge of HR processes and procedures.
- Must work well both independently and with a team.
- Able to handle multiple tasks and assignments simultaneously while maintaining customer communication and deal with changing demands from multiple customers.
- High level of integrity and ability to maintain confidentiality of information.
- Strong analytical skills and good knowledge of reporting tools.
- Excellent time management, planning and organizational skills and ability to work to tight deadlines.
