Job description
We are looking for a Global Sample Tracker Manager to join our team serving one of our largest partner laboratories.
1) Vendor Selection Process
- Lead involvement in the Request for Proposal (RFP) process to select the vendor
- Draft Statements of Work (SOW), review offers, participate in business development (BD) meetings, and finalize vendor selection
2) Activity Management
- Oversee all aspects of the tracker tool's implementation from setup to completion
- Serve as the main point of contact with the vendor, facilitating kick-off meetings and regular updates
- Ensure timely delivery of vendor deliverables, including Project Management Plan, Communication Plan, and Samples Tracker Tool implementation
- Manage data transfer protocols between vendors and the laboratory CDM (eCRF)
- Validate the system through User Acceptance Testing (UAT) to ensure accurate representation of study sample flow
- Monitor data entry into the system, identify issues, and report them to the vendor for resolution
- Utilize the system for data analysis, generating graphs, reports, and identifying gaps between different data sources
3) Performance Monitoring
- Track project timelines and alert stakeholders of any deviations, providing rationale, action plans, and assessing impacts
- Monitor Key Performance Indicators (KPIs) agreed upon with the vendor
- Implement Quality Control (QC) processes for data received into the system
4) Reporting and Documentation
- Prepare internal reports on activity status, issues, and achievements
- Deliver presentations as necessary
- Organize and maintain documentation including emails, deliverables, and meeting minutes
- Review budgetary offers, validate invoices against budget, and track expenditures
Skills Required
- Effective communication skills with internal and external stakeholders
- Strong analytical abilities and organizational skills
- Proactive approach to problem-solving
- Familiarity with clinical protocols, particularly sampling schedules
- Proficient in English communication (both oral and written)
- Experience working with collaborative platforms like SharePoint
- Proficiency in Microsoft Excel and PowerPoint
Experience
- Prior experience with tracker tools and knowledge of the clinical research environment, including clinical trials
- Demonstrated experience in vendor selection and management
