The Groups & Events Sales Executive is entrusted with handling and responding to all group and event inquiries, converting requests into bookings, and subsequently planning and executing the respective group and/or event. This role involves seamless internal communication with all relevant departments, ensuring adherence to Playitas standards and current legislation.
Responsibilities:
* Respond promptly to all Groups & Events inquiries
* Make provisional bookings pending availability for rooms, events, meeting/conference rooms, and secure relevant sport activities (e.g., Olympic pool swim lanes, bicycles)
* Send offers within a 48-hour period in compliance with Company Policy
* Follow up within 24 hours to ensure guest satisfaction, address concerns, and convert business
* Implement an internal checklist for each new enquiry and file it to the corresponding account
* Include booking forms with the offer
* Forward the Group and/or contract with a set deadline for a deposit and contract signature, unless the Company has a credit line & annual contract with the Hotel
* Ensure correct billing and receipt of payment for business accounts
* Manage, direct, and monitor business hospitality and event activities, meeting agreed criteria, targets, and budget
* Conduct effective negotiation and provide creative input
* Enter all enquiries in the relevant Hotel scheduling system and update the Demand Calendar
* Record FAM trips, site inspections, menu tastings, and networking events as per client's request
* Assist in coordinating larger events as required by the Immediate Superior/Hotel
* Establish and monitor payment tracking for balance payments, recorded in the Demand Calendar
* Liaise with the entire Operations team to ensure all requirements are met and revenue is maximized - Food & Beverage department, Accounts department, Reservations
* Ensure positive guest feedback is received and shared with the team, handling complaints or objections if any
* Prepare and send BEO/Function sheets to all relevant departments with clear instructions
* Conduct weekly BEO/Function sheet meetings with department representatives at a scheduled time
* Activate Out of Office auto-reply on holidays and weekends 0 años

* Comfortable working in an "all hands on deck" capacity and multitasking
* Attention to detail, good at execution, and can get things done with little guidance
* Competence in Hotel PMS (New Hotel, Protel, Oracle, Host) MS Office and other relevant software
