Description

The Receptionist at NPAW will be the principal point of contact for visitors and callers, reporting directly to the Office Manager and the COO. They will oversee reception area management, incoming call handling, visitor welcome and registration, package reception, and will help the Office Manager with certain tasks. These tasks include the organization of internal events, planning travel for business, and maintaining our social networks accounts among others.

In addition to this, the receptionist is expected to manage visitors' logs, badges, and provide general administrative support as required.

Responsibilities

• Answer and redirect incoming calls professionally.
• Greet and welcome visitors, maintaining a friendly and positive disposition.
• Manage incoming mail and packages.
• Assist with the scheduling of appointments and managing meeting room bookings.
• Provide a variety of administrative support functions across various departments.
• Participate in office management tasks, such as inventory maintenance and replenishing office supplies as and when required.
• Support the organization of office events, which includes arranging for catering, booking venues, and logistical management.
• Ensure the reception area is always tidy and presentable. 

Requirements

• Fluent in English and Spanish (Catalan is a plus).
• Exceptional communication and interpersonal skills.
• Prior experience in a reception or customer service role.
• Competent with telephone systems and office equipment such as fax machines and copiers.
• Advanced organizational and multitasking skills.
• Independent worker with the ability to prioritize tasks.
• Proficient in Microsoft Office Suite or Google Suite.
• Familiarity with Office Management software and tools, and social media management.
• Flexibility to work occasional evenings and weekends, as required by the demand of the office.
