Job Description

What will the Procurement Specialist do?

The IT Procurement Specialist is responsible for managing the procurement of technology products, services, and software for the organization in collaboration with the teams that require them. Internally, the position holder needs to be able to work effectively with business owners of the contract, IT (for asset management tracking), Finance (for budgets), and Legal/Compliance (contract approvals). Externally, the procurement specialist will need to negotiate pricing and terms (duration of contracts) and renewals with vendors. The specialist will normally be the first point of contact for our vendors when renewals are due. 

• Conduct market research to identify new technologies and vendors that may be beneficial to the organization
• Ensuring that products purchased are compatible with existing IT infrastructure and technology standards
• Gather quotes, proposals, and purchase terms and conditions.
• Execute the purchase of goods or services approved by business teams 
• Evaluate and negotiate vendor contracts 
• Track inventory and work with asset management tools 
• Anticipate and organise renewals in plenty of time to complete before contract end-dates 
• Recommend new products, services, or materials in keeping with industry trends 
• Developing and maintaining IT procurement policies, procedures and guidelines. 
• Staying up-to-date on industry trends and market developments that may impact IT procurement decisions. 

What do you need to succeed in this role?

The role demands shrewd and creative thinking, you must be able to anticipate the needs of the company and plan ahead for effective resource management. At times, aggressive negotiations may be necessary to ensure the company remains competitive. You will also need to be resourceful, pragmatic and able to manage your and other people's time effectively. This role involves daily contact with large numbers of other people within and outside of our business, and across many different time zones. An ability to organise and plan well is essential.

Qualifications

What do you need to have?

• 2-3 years experience in a similar Procurement department or role.
• Demonstrable history of negotiating terms with suppliers and vendors (ideally software services)
• A reasonable understanding of financial controls, including budgets, Capex/Opex spend, ARR and amortization
• Fluent or native English (comfortable working in English with contractual, financial and technical terminology)

Bonus points if you also have..

• Relevant Finance or IT (ITAM/ITIL)
