OVERVIEW: The Executive Assistant helps the CEO with tasks such as scheduling; reviewing, prioritizing, and responding to emails; answering and returning phone calls; organizing documents; maintaining records; taking notes at meetings; acting as office manager; and any other administrative tasks that help the executive perform their job. **** NOTE: This is an onsite position (not remote). We are located near the south side of the Atlanta Airport.
WHAT YOU WILL DO:
- Receive and open mail, sort, distribute, scan and email as needed.
- Assist with travel, reservation, appointments, scheduling
- Take Meeting minutes with action items and distribute to all attendees
- Follow up on action items as assigned by CEO
- Set up Zoom calls
- Ability to pull reports and interpret data
- Prepares and forwards outgoing mail and packages
- Composes/Prepares routine correspondence as required
- Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing as required
- Organizes and maintains file system, files correspondence and other records
- Orders and maintains supplies, arranges for equipment maintenance, and keeps office organized
- Prepares and maintains meeting and conference room reservation and catering schedules; circulates schedule to appropriate staff
- Demonstrates a high level of professionalism in dealing with confidential and sensitive issues
- Answer phones and direct messages as applicable
- Assist Visitors/Residents at the front desk in a courteous and professional manner
- Monitor and order supplies needed in the Atlanta office, order supplies as requested for field offices
- Track and report all receipts for company purchases on the company credit card
- Track and submit expenses for CEO
- Manage access control for Atlanta office
- Assist National Trainer with onboarding of employees in Atlanta market
- Put together new hire swag packs, and report to marketing when reorder is necessary
- Use GSheets or Monday.com boards to track follow up communications needed from CEO with potential vendors, clients, or others
- Event planning for company gatherings, including budget setting and tracking expenditures
- Performs other related duties as assigned by management.

WHAT YOU BRING TO THE ROLE:
- Excellent Excel skills - VLOOKUP and pivot table experience required
- Previous experience in a Property Management Environment a plus
- Experience creating innovative PowerPoint presentations
- Proficient in Microsoft Office Package and Google Suites
- Proven ability to multitask and prioritize
- Professional verbal and written communication skills
