Your role
The Deputy Head of Budget Office role includes, but is not limited, to the following:
Management
- Deputising for the Head of Budget Office
- Responsibility for managing, mentoring and developing Budget Office team members, as assigned by the Head of Budget Office
- Coordinating work for Budget Office activities with all EMBL sites and other administrative departments
- Managing recruitment activities, from applicant shortlisting to execution of interviews, as assigned by the Head of Budget Office
- Managing all audit related activities, both internal and external
- Taking ownership of the Budget Office role in developing and maintaining BO reports, as well as participating in other reporting projects
Project Controlling
- Acting as business partner for EMBL Scientific Units, providing support and added value that assist Heads of Units in decision making
- Solving complex and sensitive administrative/financial issues
- Alerting Principal Investigators about potential risks ahead of time
- Providing support to project managers with distribution of payments to third parties
- Formulating and submitting financial reports
- Troubleshooting
- Developing a system of financial reviews and forecasts with Group Leaders and other budget holders
- Participating in a wide range of reporting projects (e.g. development of Business Objects based reporting suite for Group Leaders and provision of support and assistance to other leads in the development of other financial reporting suites)
- Independent management of complex projects with successful result delivery
- Representing and promoting EMBL outside the organisation
- Interpreting contractual documentation and grasping the essence of funders’ financial regulations
- Assessing changes in EMBL’s funding bodies’ requirements and adapting processes and procedures to ensure compliance
- Supporting all budget holders in their continuous efforts to efficiently control the budgets under their responsibility, regardless of funding source

Grading: 7; depending on qualifications and experience (monthly salary starting from 4.9k EUR after tax + other paid benefits)

You have
As our ideal candidate, you will be a skilled controller with experience in business partnering, with a University degree and recognised professional Accounting qualifications (e.g. ACCA, CIMA, CCAB or CPA). Sound knowledge of budgetary control, basic accounting concepts and financial reporting principles are required for this role. A minimum 10 years of experience in financial controlling and/or management accounting, as well as proven experience in managing staff is required. Previous experience in managing grants and similar projects is expected. You are team player but also able to work independently. We are looking for a candidate with good communication and interpersonal skills, which are essential for the staff management part of the role. Fluency in English is a must. Outstanding knowledge of the usual office software packages, especially Excel, is essential. Proficiency is using accounting software (preferably SAP and/or Workday) is expected.
You might also have
Experience in administration of academic research grants will be considered a strong advantage. Familiarity with Business Warehouse and Business Objects will be considered very valuable. Good working knowledge of German would be considered an advantage.
