2024 is an exciting time for our HR team as we work to implement a new ERP system across EMBL's 6 sites (duty stations). Delivering modern HR practices will increase efficiencies and enable the team to focus on what matters most, our people.
During this busy time we have an opportunity for an Intern (trainee) to join the HR Operations team in Heidelberg for a period of 12 months starting as soon as possible.
This opportunity would suit a recent graduate or someone studying a HR degree who is interested in gaining experience in HR administration (salaries, benefits and entitlements at international organizations) and is excited by the challenge of providing an excellent service in a stimulating international environment. You will be part of the HR Operations team responsible for delivering high quality services in line with EMBL Staff Rules and Regulations, internal guidelines and procedures.

Reporting to the Head of Pay, Benefits and HR Analytics, you will support our team of HR Officers with a range of administrative tasks and assist them in processing salaries, benefits and entitlements for almost 1800 members of personnel.

You will gain hands-on experience in a range of HR administration processes in international organization. In particular, you will be responsible for the following:

• Maintaining leave records in ERP system
• Drafting employment certificates
• Assisting in onboarding and offboarding of members of personnel, as well as processing staff benefits and entitlements
• Managing HR Operations ticketing system and responding to queries from EMBL members of personnel
• Liaising with members of personnel through various platforms ensuring a continuous excellent employee experience, supporting the Operations team in communications internally and externally
• Updating HR databases
• Organising internal and external meetings, taking meeting minutes and following up on agreed actions
• Performing standard administrative tasks related to the HR Operations activities, e.g. scanning documents, processing inquires
• Preparing reports and researching into HR Operations related topics to support internal projects
• Other tasks as required

• We are looking for a proactive person who would like to pursue a career in Human Resources, especially in the international organizations. As our ideal candidate, you are studying or have a degree in Human Resources Management, Public/Business Administration or a related field.
• A commitment to providing exceptional customer service.
• You should have analytical skills and be able to work effectively with people of different national and cultural backgrounds.
• You will also need to have strong organisational and communication skills, reliability as well as the ability to plan and prioritise your work.
• Excellent written and verbal English language skills are also essential, knowledge of German language is a distinct advantage.

Desirable:

• Experience using ERP (HR databases)
• Experience gained in administration or a HR environment
