Primary function
The primary function of the job is to perform a variety of customer-focused administrative duties.
Home Location: Thunder Bay District Office
Secondary/tertiary locations: Not applicable
Reporting to: Manager, District Operations
Key accountabilities
- Reception duties including answering a high volume of telephone calls and providing information to clients and lawyers on the phone and/or in person regarding legal aid processes and/or the status of their file.
- Provide back-up relief for reception staff as required.
- Assisting clients in completing intake information and triage.
- Scan consent and declaration forms and attach to client file in the PeopleSoft system.
- Opening mail and matching the correspondence with existing client files, scanning and attaching to client files in PeopleSoft
- Fax correspondence to counsel and clients.
- Maintaining e-mail database for stakeholders.
- Maintaining and faxing up to date referral lists.
- Maintain settlement conference calendar and prepare boardroom for settlement conferences.
- Scheduling settlement conferences and maintaining settlement conference excel database.
- Review and process approved panel management applications.
- Open, close and bill family law files.
- Order office supplies and oversee maintenance issues with copiers, water, HVAC system.
- Additional, specific duties as outlined by manager
- Experience working in a family law office is an asset
Required skills & experience
- Experience in an office environment and proven ability to deal effectively with clients on the phone and in-person.
- Sound organizational skills to ensure the accuracy of information and to maintain control of a variety administrative of tasks.
- Intermediate level skill in Microsoft Word and Excel
- The ability to enter and retrieve information in a client service computer application (Peoplesoft) is an asset
- Accurate typing skills and the ability to work with minimal supervision
- The ability to multi-task and to work well under pressure
Education & Job Knowledge:
- Knowledge of court procedures, duty counsel policies and LAO’s policies and procedures.
- Good knowledge of community based services available to clients.
