Job Information and Responsibilities
Under the direction of the Chairperson, Department of Psychology, the Secretary II:
- Acts as the primary contact for all persons seeking information on or contacts with the Psychology Department; Greets visitors and students and responds to inquires and/or directs to appropriate faculty member or other university contact.
- Is responsible for mail/correspondence; includes collecting, sorting, and distributing the incoming mail and correspondence. Processes outgoing mail, correspondence and courier packages (e.g. prepare customs and other forms for international couriers).
- Updates and maintains the Psychology Department webpage with current and up to date information including advising office hours, program information and department contact information
- Prints, faxes, scans, photocopies and distributes documents as required; Arranges for printing and copying of course materials, test and exam printing,
- Books Psychology spaces for faculty, staff and graduate student for group work, tests, study and research space. Coordinates with Faculty secretaries and other university staff (e.g., Conference Services) to secure and book additional spaces as needed.
- Provides basic services (e.g. mail, reception, etc.) in a backup support role for one other Departments/Programs as required because of vacation, illness, or other leaves. Assignments of Departments/Programs for backup support will be reviewed annually by the Faculty of Science Executive.

Experience and Education Requirements
To be the successful Secretary II you will have:
- Completion of High School diploma plus a 1 year Community College business program.
- Minimum 1 year directly related experience.
- Proficient in Microsoft Office Suite.
- Strong organizational skills and ability to function independently, and as part of a team.
- Strong communication and listening skills.
- Demonstrated ability to work under pressure.
- Ability to handle and maintain confidential material.
- Assets for this position include working in university environment, experience with SCT Banner and website maintenance experience.
