The Opportunity

We are seeking a dynamic and enthusiastic administrative professional to join Joseph Brant Hospital Foundation as the Executive Assistant to the President & CEO.

Reporting to the President & CEO, the Executive Assistant (EA) is responsible for providing all facets of excellent administrative support to the President & CEO and the Foundation Board of Directors. The EA acts as the point person for internal and external stakeholders in a demanding and professional environment. They are responsible for managing schedules, producing first-rate documentation, governance activity oversight with respect to Board of Directors operations, and anticipating the professional needs of the President & CEO and the Foundation’s Board of Directors.

In addition, the EA will be required to work closely with the Hospital’s Senior Leadership Team and their administrative assistants, interacting with business and community leaders, donors of all levels, vendors and professional affiliates.

These responsibilities are accomplished while actively participating in a fast-paced, team environment with multiple priorities and competing deadlines.

In January 2024, the Foundation announced a lead gift of $5M to the For All Minds Campaign, which will support of the redevelopment of Mental Health and Addictions care spaces at JBH.

The Foundation is governed by a team of community volunteer leaders and is managed by a dedicated staff of professionals who ensure that every donation is used effectively and efficiently to meet the needs of patients and their families.

Key Responsibilities

• Managing all calendar activities of the Foundation President & CEO;
• Providing superior administrative support to the Foundation Board of Directors and its various committees and board meetings;
• Scheduling meetings, including circulation of meeting notices and schedules, preparation and distribution of agendas and relevant materials, arrange room bookings, a/v requirements and refreshments, attending (where appropriate), taking minutes and preparing reports;
• Preparing correspondence;
• Liaising with Foundation and Hospital staff;
• Dealing with confidential matters including active solicitations, board matters and HR related issues;
• Provide back up support to other Foundation staff as appropriate and as needed;
• Support colleagues and maintain a professional attitude and work ethic;
• Maintain a high degree of motivation and superior work ethic consistent with the employment philosophy of the Foundation;
• Participate actively as a member of the Foundation Team;
• Other duties as assigned.

Qualifications and Experience Required

• Graduate of a community college program in Office Administration or equivalent;
• A minimum of 7 to 10 years of professional experience in a similar role, providing executive level support, with direct experience supporting the administrative needs of a Board of Directors;
• Knowledge of, and experience with, Microsoft Office Suite programs;
• Must have strong communication, presentation, and interpersonal skills coupled with exceptional organizational skills;
• Must possess ability to anticipate professional needs and work independently;
• Must possess ability to work in a fast-paced environment and disseminate complex information in order to maintain effective working relationships;
• Confidence, sound judgment and decision making capabilities are essential;
• Excellent time management skills and the ability to meet competing deadlines in an organized manner are essential;

Compensation: Target salary range is $70,000 - $80,000, commensurate with experience, plus a comprehensive benefits/pension (HOOPP) package and eligibility for annual merit incentive.
