Responsibilities
Prioritize and manage day to day activities including reservation of meeting rooms, event spaces and any changes to the same.
Meet, greet, and escort guests from the Main Entrance to meeting rooms and event venues.
Assist with gathering information for travel requests, seek travel approvals, assist with travel bookings and other travel related activities.
Coordinate with internal departments for events, large meetings, Town Halls and team off-sites for e.g., coordinate catering, AV needs and other facilities requests.
Assist where required with expense submissions by emailing, copying and or scanning receipts and invoices, to ensure timely and accurate reimbursement.
Collaborate, communicate, and work effectively with Executive Assistants in the organization and wider company, volunteering for events for e.g., being a mic runner at Town Halls.
Confidentially circulate and track Term Sheets, Agreements and other documents for VP and SVP review and signature.
Handle and distribute mail and packages efficiently and confidentially.
Assist with online orders for test equipment, test devices, sim cards or test lines.
Confidentially update or create PowerPoint slides and Org charts, and various decks as required.
Track vacations and complete Timekeeper entries and approvals on a bi-weekly basis.
Distribute organization announcements.
Other Administrative duties as required.
Qualifications
Minimum of 3 years of previous Administrative or Executive Assistance support to Senior Leaders – Directors and or VP level.
Bachelor’s degree in business or related field, must have completed post-secondary education.
Excellent interpersonal and communication skills, both verbal and written.
Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information.
Proven ability to work effectively under pressure in a fast-paced environment.
Strong organizational skills with a proven ability to prioritize.
Advanced skills in MS Office (PowerPoint, Excel and Word).
Knowledge and former use of Oracle eBiz and Oracle HCM an asset.
