ABOUT METRO VANCOUVER CRIME STOPPERS:

Metro Vancouver Crime Stoppers ("Crime Stoppers") is a non-profit society and registered charity incorporated in 1984 that receives anonymous tip information about criminal activity and provides it to police and government investigators in communities from Powell River through Boston Bar. Since its inception, tips to Metro Vancouver Crime Stoppers have led to more than 8400 people arrested and more than a half-a-billion dollars in stolen property and drugs seized. Our mission is to reduce crime in the community by providing the public with an opportunity to leave anonymous tips about criminal activity.


POSITION DESCRIPTION:

We are seeking a highly organized and detail-oriented Administrative Services Coordinator to join our team. The successful candidate will play a key role assisting in managing the Crime Stoppers office administration and ensuring the smooth functioning of administrative processes as well as providing assistance to the Executive Director.

DUTIES AND RESPONSIBILITIES

- Assist in scheduling meetings, managing calendars, and coordinating travel arrangements

- Assists the Executive Director with preparation and distribution of documents, reports, articles and communications

- Coordinate office activities and operations to secure efficiency and compliance with company policies

- Prepares documents using MS Office and MS SharePoint

- Maintain accurate records and databases, ensuring data integrity and confidentiality

- Manage office supplies and equipment, including inventory management and ordering

- Assist with special projects and events as needed including donation and payment processing

- Perform day-to-day bookkeeping tasks, including accounts payable and accounts receivable

- Reconcile bank statements and ensure accuracy of financial records

- Process payroll and maintain employee records

- Prepare financial reports, including balance sheets, profit and loss statements, and cash flow statements

- Maintain confidentiality of financial information and adhere to company policies and procedures

- Provide support during audits and tax filings

QUALIFICATIONS:

- Proven experience in an administrative role, preferably in a fast-paced environment

- Knowledge of office management systems and procedures

- Highly proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and databases such as e-Tapestry

- Experience in bookkeeping, with a strong understanding of accounting principles

- Proficiency in accounting software such as QuickBooks

- Relevant certifications (e.g., Certified Bookkeeper) are a plus

- Ability to work independently and as part of a team

- Strong organizational skills and attention to detail

- Excellent communication and interpersonal abilities

- Ability to prioritize tasks and manage time effectively

- Flexibility and adaptability to handle changing priorities

- Enhanced Security Clearance required
