Our exclusive client, a renowned boutique luxury real estate brokerage located in the Central east end of Ottawa, is currently looking for an Executive Administrative Assistant to join their team on a full-time permanent basis. The ideal candidate enjoys working proactively in a fast-paced environment, is enthusiastic about pleasing high-profile clients, and can quickly adapt to ever-changing priorities.
***This is a fully in-office position (not hybrid / remote).***

Required skills and qualifications:
- 1-2 years’ administrative experience within a fast-paced environment
- Previous experience supporting an executive considered a strong asset
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Technically and technologically competent, especially with electronic and virtual meeting platforms
- Excellent verbal and written communication skills – grammar test will be administered
- Demonstrate a high degree of professionalism and discretion; maintain confidentiality, be respectful and diplomatic
- Strong initiative and ability to work independently with minimal supervision
- Strong prioritizing and multi-tasking capabilities; adaptability to changing priorities
- Highly self-motivated with a positive attitude
- Strong analytical thinking, judgment, and problem solving skills
- Must have own vehicle and a valid driver’s license
Duties may include but are limited to:
- Provide high-level administrative support to the Broker of Record
- Organize and manage an active calendar including schedulingand coordinating meetings, appointments, and travel arrangements
- Prepare and edit correspondence, communications, presentations, and other documents
- Conduct research, compile data, and prepare reports for executive review
- Coordinate and facilitate internal and external communication (e.g., answer phones, respond to emails)
- Manage and foster relationships with clients
- Maintain a high degree of confidentiality for all matters
- Unlock homes and set / disarm alarms – 10%
- Perform general office support functions as required
Monday to Friday – 9:00am to 5:00pm – May be required to work outside of regular hours
Salary: $55,000 - $65,000 per year depending on experience
