Job Summary The Department of Psychiatry is a clinical academic department within the Faculty of Medicine. Reporting to the Physician Resource Manager, the Human Resources Coordinator coordinates the faculty appointment process, promotion and tenure process, credentialing process, orientation process, manages personnel files, and is responsible for the department Faculty HR Information System
Key Responsibilities - Tracks and maintains the department database of all faculty HR information ensuring that all HR data is accurate, up-to-date, and captures faculty information in a timely and efficient manner, and maintains faculty personnel files ensuring that files are complete and properly stored, and highly confidential material is protected and archived accordingly.
- Initiates and processes payroll forms for faculty and staff.
- Facilitates the credentialing process for faculty members by providing new medical staff with credentialing applications and coordinating the renewal process for existing medical staff; Obtains the necessary paperwork and tracks the credentialing status of all physicians ensuring expiry dates are updated in department database.
- Coordinates the department orientation process for new faculty.
- Coordinates faculty recruitment visits by developing an itinerary, arranging travel and accommodations for candidates and acts as a resource to the visiting candidate throughout the process.
- Coordinates the faculty appointment process, initiating and processing all documentation related to faculty appointments; identifies department members eligible for reappointment in accordance with the Faculty of Medicine Guidelines.
Note The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines
Required Qualifications - Business Administration program, plus three to five years’ experience in human resource administration in a professional environment (or equivalent combination of training and experience).
- Ability to effectively utilize Microsoft word processing, database, and spreadsheet software.
- Strong interpersonal and communication (verbal and written) skills.
- Ability to work both as part of a team and independently in an environment with frequent interruptions and shifting priorities.
- Ability to handle sensitive and confidential information.
Assets - Undergraduate degree in business or public administration with a concentration in human resources or Advanced Diploma in Human Resources.
- Certification as a human resource professional (CPHR).
- Experience in a medical/university setting.
