Job description

Our client in the Markham area is seeking an experienced and organized Administrative Coordinator to join their team. This company specializes in plumbing, heating, and air-Conditioning

The ideal candidate will play a crucial role in managing the daily administrative operations of the office, providing essential support to the team, and contributing to the overall efficiency of our business.

Responsibilities
-Serve as the first point of contact for the office, handling phones, emails, and occasional walk-in customers.
-Dispatch technicians as required, generate work orders and possess sufficient industry knowledge to address customer inquiries.
-Manage and oversee daily administrative operations, including invoicing, work orders, and supplier processes.

-Coordinate and schedule appointments, meetings, and events, focusing on job site meetings for the company owner.
-Prepare and distribute correspondence, memos, and reports as needed.
-Maintain office supplies and equipment inventory.
-Assist in processing payroll and maintaining employee records, including collecting hours for work orders.
-Perform general clerical duties such as filing, photocopying, and data entry.
-Communicate with clients, vendors, and other stakeholders, representing the company professionally.
-Ensure adherence to office policies and procedures.
-Assist in submitting invoices for customers and follow up on payments.

Qualifications
-Minimum of 3 years of relevant administrative experience.
-Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
-Strong organizational skills and the ability to multitask effectively.
-Experience with handling invoices and basic budgeting tasks.
-Excellent written and verbal communication skills.
-Familiarity with office equipment and basic troubleshooting.
-Experience in vendor management and negotiation is an asset.
-HVAC industry experience is a significant asset.
