Our client is seeking qualified applicants for the position of Operations Coordinator to support the CEO. You will be part of a group of dedicated, hard-working people who are committed to heightening individual and collective capabilities to elevate the client experience.
You will manage the CEO’s client projects in the role of Project/Account Manager, and you will work directly with C-suite clients and their teams. What we offer:
- Salary: $55000-65000
- Work Location: Toronto, ONT
- Hours of Work: 8:30am to 5pm
- Full Time, Permanent with benefits.
What you do:
- Manage the CEO’s schedule, with the objective of maximizing their productivity and building strong relationships with clients.
- Manage CEO’s individual client work including budget and proposal support, from inception to close.
- Supports Impact Project/Account Managers to set up projects in project management system.
- Creates new/modifies existing project management reports.
- Supports project delivery, including building engaging PowerPoint decks, creating status reports, and helping to organize project launches.
- Assists in developing new business by arranging client meetings, developing project budgets, proposals, Statements of Work, and setting projects up in the project management system (Mavenlink)
- Produces and analyses monthly Key Performance Indicators (KPIs), such as sales and utilization reports.
- With direction, prepares government compliance reporting and remittances (e.g. quarterly WSIB reports, annual EHT return, quarterly HST)
- With oversight, processes subcontractor payroll (review invoices, create payment summary, enter payments into payroll system)
- Supports accounts receivable by creating invoices in QuickBooks.
- Sends invoice reminders to clients and escalates old invoice/payment issues.
- Processes payments to vendors
- Ensures a clean and tidy office space.
- Provides general administrative support as needed (e.g. distributing incoming mail, booking travel, ordering office supplies, updating business contacts for marketing purposes, scheduling internal meetings)
- Supports administrative onboarding of new employees and subcontractors.
- Maintains subcontractor coach roster.
- Coordinates quarterly home team coach review sessions.
- Coordinates coach connect sessions.
- Ensuring bi-weekly coach communication
Who are you:
- University degree in Arts or Business
- At least three years of business experience, ideally in professional services and/or Human Resources.
- Excellent English communication skills (in person, by phone, through email, and formal writing skills)
- Experience managing projects at an intermediate level.
- Experience using project management software and MS Teams, coupled with the interest and curiosity to get more from them to optimize project management.
- Skilled in creating visually engaging and effective presentation material.
- In-depth understanding of MS Office suite and aptitude for learning and mastering innovative technology
- Client relationship management skills
- Human Resource or Organizational Development background is an asset.
- Bilingual in French/English is an asset.
