Job description
We are now in search of a Legal Administrative Assistant with experience in litigation. This is a great opportunity to further your legal career, with a busy & successful firm in their beautiful office located in downtown Victoria.
Scope of the role:
The Legal Administrative Assistant will be supporting a partner and two associates and is responsible for all aspects of managing client and file information, including establishing and maintaining organizational systems to manage paper-flow; client contact; drafting and filing documents; billing and administrative tasks.

Salary: 55K to 65K, depending on experience

Responsibilities
- File preparation including preparing and submitting of conflict searches, file opening sheets, preparing physical files.
- File management including organizing and managing documents of both physical and digital filing systems.
- Use of iPro Eclipse litigation database software, including document uploading and deletion, updating document information, and running document production.
- Document preparation including letters, emails, faxes and court documents.
- Communicate directly with clients, court reporters, experts and opposing counsel.
- Book court dates and discoveries, file court materials, and communicate with court registries (including Provincial Court (Small Claims), B.C. Supreme Court, B.C. Court of Appeal, Federal Court and Supreme Court of Canada).
- Organize and assemble chambers records, books of authorities, lists of documents, appeal records and appeal books.
- Obtain and index cases from CanLII and other sources (QuickLaw, Westlaw).
- Prepare and submit Certificates of Pending Litigation and other forms with LTSA.
- Prepare and submit Personal Property Registrations.
- Conduct various court, LTSA, BC Assessment, Corporate Registry and Personal Property Registry searches.
- Daily time entry.
Billing of accounts; handling client collections.
Other general administrative support services as required.
Qualifications
- Minimum 3 years’ litigation experience.
- Strong organizational, calendar, and file management skills.
- Strong understanding of Law Society of BC Client Identification, Verification and Anti-Money Laundering Rules.
- Excellent communication and interpersonal skills.
- Positive and willing attitude.
- Ability to function well under pressure and manage a high volume of work.
- Excellent spelling, grammar, and proof-reading skills.
- Ability to take initiative and think ahead.
- Excellent proficiency with MS Word, Excel and Outlook.
- Keyboarding of at least 60 wpm.
- Preference will be given to candidates who have completed a Legal Administrative Assistant program.
