Hours: 35 hours per week
Salary: $27.00 per hour (approximately $49,140 per year)

Job Summary: We have an opening for a Real Estate Legal Assistant position to assist the real estate department of our firm. We are looking for a candidate who has attention to details, strong technical knowledge, who takes initiatives, enjoys interacting with clients, and is willing to learn. You will be mainly responsible for real estate files but will also help our firm’s other departments from time to time.
Job Responsibilities:
- Prepare and complete all necessary documentation for real estate purchase, sale, and mortgage transactions from inception to conclusion in compliance with legal procedures;
- Review title and off-title searches thoroughly;
- Assist legal counsel with drafting, reviewing and dispatching correspondences to clients, financial institutions, title insurance companies, and land registry offices;
- Generate reporting letters and accounts for clients and lenders upon post-file completion;
- Draft and dispatch follow-up letters regarding mortgage discharges;
- Maintaining physical and electronic filing systems according to firm policies and procedures;
- Receive and distribute communications from incoming calls, mail, faxes, e-mails and other materials to members of the firm;
- Perform administrative tasks including file closure procedures, calendar management, diarizing, photocopying and wire-deposits;
- Schedule appointments, meetings and intakes for legal counsel within the real estate department;
- Provide assistance to senior real estate law clerks, senior estate law clerks, and other team members as necessary;
- Attending financial institutions for depositing or certifying cheques on as-needed basis; and
- Perform any additional administrative duties as assigned.
Minimum Skills Requirements:
- Completion of secondary school is required;
- Completion of a college diploma, certificate or other post-secondary program in legal secretarial assistance OR at least two (2) years of work experience as a legal assistant within a law firm is required;
- Prior work experience in real estate law is strongly preferred;
- Demonstrated proficiency in Teraview, LEAP, Realtiweb, and Microsoft Office Suite programs is considered an asset; and
- Must be dependable, reliable, and have effective interpersonal skills.
