Job description

Randstad Victoria is now looking for an administrative assistant for a six month contract for a client of ours in the financial industry. The is a great opportunity for a dynamic environment. Advantages

• Monday to Friday
• $30-35 per hour
• Central location

Responsibilities
•Coordinates, schedules appointments, and arranges itineraries for the SVP
•Monitors board and EMT dates and agendas to ensure participation requirements are met
•Organizes all travel arrangements for the SVP, including booking flights and hotels, arranging peer meetings and agendas and completing expense claims
•Organizes documents for the SVP participation on client boards, and industry associations
•Ensures that operational deadlines are met such as board, EMT, ERMC, and client meetings, along with the maintenance of recurring meetings
•Reconciles own monthly spending/expenses and purchasing card
•Coordinates monthly team meetings, team leadership meetings, and quarterly meetings with other department SVP’s

•Assists Human Resources with the coordination of interviews in SVP’s calendar
•Access to SVP’s Outlook inbox and confidential information, requiring a high-level discretion and confidentiality
•Attend Administrative meetings
•Actively adheres to compliance and risk management policies
•Assists department Administrative Assistant with organizing monthly on-site team building activities and planning of quarterly off-site team building
•Oversees management of SharePoint
•Updates and maintains EA’s administrative procedures

Qualifications
• Minimum of 5 plus years experience working in an office environment
• Advanced knowledge of MS Office suite (namely Word, Outlook, and Excel), including creating
charts/spreadsheets; reporting on extensive amounts of data; and managing multiple calendars
• Excellent typing skills and proficient in Adobe Pro and other common office applications •
Excellent verbal and written communication skills
• A strong work ethic and talent for detailed work
• Ability to manage high volumes of priorities and deadlines.
