Reporting to a managing partner, the Executive Assistant (EA ) is crucial in providing high-level administrative support. This role will require you to manage competing priorities in a fast-paced environment. As a central point of contact between the internal and external stakeholders , y ou will contribute to the overall effectiveness of the day-to-day operations, enabling the managing partner to focus on their priorities.

Responsibilities include:

Document Preparation : Draft and edit the offer to purchase and offer to lease—additional support in creating documents, presentations, reports, and other materials.

Calendar Management : Schedule meetings, appointments, and events.

Email and Communication : Manage and filter emails, phone calls, and other forms of communication, often drafting responses. Screen communication and determine which matters require attention.

Travel Arrangements : Booking flights and hotels and creating itineraries for business trips.

Research: Conduct research and data as requested by the executive. This research can include market trends, industry information, competitors, and other relevant data.

Gather information : Working with the clients, gather all information regarding sales and leasing.

Event Planning: Support organizing company events, conferences, or other functions.

Requirements:

Ø Post Secondary diploma or certificate in administration or similar.

Ø Previous experience working in an administrative or executive assistant role. Industry experience in real estate, legal industry, or similar would be an asset.

Ø Highly proficient in Microsoft Word and Excel, along with experience utilizing databases.

We highly value the ability to solve problems strategically, and your attention to detail is crucial for preventing oversights. Additionally, you should possess the capability to grasp and retain information effectively.
