Looking for a dynamic and rewarding role where your skills truly make a difference?

We’re looking for a really great Executive Assistant to help Carmen our CEO and Owner with all aspects of day to day activities including client and team communications.

You'll be scheduling recruitment interviews, attending to Carmen’s personal and business agendas, and handling social media activities for Carmen and his team.

Here’s an idea of some of the tasks you’ll be doing:

• 📝Provide administrative support by managing calendars, scheduling meetings, coordinating travel arrangements, and taking care of correspondence.
• 📞Take charge of incoming communication through emails, answering phone calls, and serve as the primary contact point between the executive and internal/external stakeholders, thus helping to build and maintain relationships.
• 🛄Organize travel plans that include booking flights, hotels, arranging transportation, and creating itineraries.
• 🤖You’ll research new tools and technologies and identify ways in how we might be able to use them to be more efficient.
• 📚Assist with projects and initiatives by coordinating activities, conducting research, preparing presentations, and providing general support to ensure the projects' successful completion.
• 📩Prepare email newsletters and manage social media.
• 👀Oversee ad hoc activities, track budgets, and assist in hiring processes.

Fiorilli Construction is seeking a candidate who is proactive, open and comfortable taking calculated risks. You’re a genuine, warm person with a methodical, consistent, and detail-oriented approach to your work.

You will need to have or be:

• 🚀 Tech savvy comfortable picking up new tools and technologies to aid your work
• 👥 3+ years of experience working as an executive assistant handling communications with clients and team members.
• Experience with supporting recruitment activities
• 🤝 Strong accountability and problem-solving skills coupled with the ability to maintain solid relationships
• 🎯 Capability to anticipate the owner's needs, keeping them organised and healthy. A keen attention to detail in conjunction with excellent communication skills is paramount
• 💻 Proficiency in using MS Office software and MSTeams

Brownie points for:

• 📊 Experience with HubSpot or other CRM systems
• 🤖 Interest / use of Chat GPT and AI tools
• 🏢 Experience in EOS Worldwide or similar business frameworks
• 📑 Experience with recruitment software like Applicant Tracking Systems
