Description of Duties:
Supports work coverage functions for Paramedic Services by filling open shifts based on planned and unplanned staff schedule changes (e.g., vacation, sick, absences, training). Applies and makes approved changes to staff schedules per collective agreements and legislation.
Duties/Responsibilities:
- Responds to calls from CUPE 5191 staff or superintendents regarding work absences. Enters approved sick time to scheduling software. Calls out to arrange backfill, per collective agreement.
- Fills open shifts and processes time off requests and other shift changes, per management approval and/or collective agreement and established processes.
- Applies approved schedule changes in scheduling software, including for training and other work-related activities within and outside regular schedules. Confirms appropriate backfills are in place.
- Applies special pay codes (e.g., emergency leave, refusal of work occurrence) as necessary.
- Audits approved missed lunches and shift overruns to ensure accuracy of data in scheduling software before pays are processed.
- Informs management of potential staffing shortages, conflicts, issues, and unexplained absences.
- Responds to questions from staff regarding processes and individual information (e.g., accrual banks).
- Refers escalated and complex issues (including those that require historical edits) to management.
- Monitors scheduling inbox and scheduling software for time off requests and shift changes to plan and prioritize work.
- Performs related duties as assigned.
Knowledge, Skills & Abilities:
- Knowledge of office administration procedures and shift and schedule administration, acquired through a grade 12 education plus 2 years of related experience in a high volume, unionized, 24-hour service delivery environment. An equivalent combination of education and experience will be considered.
- Knowledge of and ability to follow policies, procedures, collective agreements, and related legislation (e.g., employment standards, privacy).
- Organizational, attention to detail, and problem solving skills to maintain shift coverage.
- Communication and interpersonal skills to respond to inquiries, requests, and complaints from staff and management; and participate as an effective team member.
- Ability to read, interpret, and apply policies, procedures, legislation, collective agreements, and manuals. Ability to write documents and correspondence.
- Computer skills with ability to use software such as Microsoft Office, and a time and attendance management system. Ability to use an auto-dialer.
- Ability to work shifts, including days, afternoons, evenings, weekends, and statutory holidays as part of a regular rotation/schedule, which includes 11 hour shifts, based on operational needs.
- Ability to travel within Waterloo Region.
- Ability to support and demonstrate the Region's values.
