Schedule: 4 days in-office, 1 day remote


Overview: We are seeking an experienced investment advisor assistant for our client in Richmond Hill. The successful candidate will primarily work in-office four days a week and remotely for one day. The role involves supporting our investment advisors in managing an established book of business. Preferred candidates will hold IFIC and LLQP licenses and have a minimum of three years of relevant experience in the financial services industry.


Responsibilities:

  1. Provide comprehensive administrative support to investment advisors, including managing calendars, scheduling appointments, and handling correspondence.
  2. Assist in the preparation and submission of client documentation, including account opening forms, transfer requests, and investment applications.
  3. Coordinate client meetings, prepare meeting materials, and ensure follow-up on action items.
  4. Process client transactions accurately and efficiently, adhering to regulatory requirements and company policies.
  5. Maintain client records and databases, ensuring the accuracy and completeness of information.
  6. Respond to client inquiries and provide exceptional customer service, demonstrating professionalism and responsiveness.
  7. Assist in the development and implementation of client communication strategies, including newsletters, market updates, and event invitations.
  8. Conduct research and analysis on investment products, market trends, and regulatory changes, providing insights and recommendations to investment advisors.
  9. Collaborate with internal teams, including compliance, operations, and marketing, to ensure seamless execution of client service initiatives.
  10. Stay informed about industry developments, regulatory changes, and best practices, actively participating in professional development opportunities.


Qualifications:


  1. Minimum of three years of experience in a similar role within the financial services industry.
  2. Strong knowledge of investment products, financial markets, and regulatory requirements.
  3. Preferred certifications: IFIC and LLQP licenses.
  4. Excellent organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
  5. Exceptional attention to detail and accuracy in data entry and record-keeping.
  6. Proficiency in MS Office suite and experience with CRM software (e.g., Salesforce, Microsoft Dynamics).
  7. Excellent interpersonal and communication skills, both verbal and written.
  8. Ability to work independently and collaboratively within a team environment.
  9. Commitment to maintaining confidentiality and professionalism in handling sensitive client information.
  10. Bachelor's degree in Finance, Business Administration, or a related field is an asset.
