Support Staff - Full-time
Description:
Three Support Staff Full-time New Positions
(First consideration for Support Staff and Academic positions will be given to internal applicants in accordance with the respective Collective Agreements.)
Under the direction of the Manager, Custom Training Solutions, the Support Services Officer provides a variety of complex, time-sensitive administrative support for custom training activities, online and in-person at multiple campuses. The successful candidate provides high quality support to internal and external stakeholders (e.g., clients, faculty, new Instructors, training participants, consortiums, program advisory committees (PACs), etc.), within the context of custom training and special projects in the Custom Training Solutions department.
Successful candidates will be required to conduct work within Ontario and must be available to work on campus as required. It is anticipated that this position will meet the needs of the department through a hybrid work arrangement with two days on-site, and three days remote. Hours of work may require some evening, weekend, and off-campus activities.
Responsibilities: - Provides client management services for clients, offering instructional support to prospective and current students, as well as faculty, regarding internal academic processes, requirements, services, and associated learning tools (e.g., eConestoga)
- Communicates with faculty and students on schedule changes/logistics as necessary and monitors contracts, outstanding invoices and other documentation
- Provides support to students/training participants to ensure their success in training deliveries
- Conducts and shares training progress reports with clients
- Administration of the training registration process, material ordering and distribution, location booking, invoice requisition, cancellation and refund process, and evaluation
- Uses the student information system (SIS) to upload program cohorts, block style course delivery sections as required, and instructor contracts
- Coordinates faculty access to college E-Systems, including ID's; acts as a liaison with faculty on college required training sessions (e.g., eConestoga, AODA, Occupational Health and Safety, etc.)
- Coordinates training start-up and organizes logistical support for program, course and workshop delivery
- Contacts potential faculty members to coordinate interview schedules for recruitment and hiring
- Creates faculty academic contracts and assigns faculty to courses in the College system
- Coordinates teaching offers, creates teaching assignment (academic) contracts, and confirms acceptance with faculty
- Facilitates orientation sessions for new faculty and new students/training participants
- Provides technical support for basic eConestoga/internal systems, troubleshooting for faculty, employee portal, time reporting, AODA, and copyright compliance standards
- Completes training evaluation summaries and implementation of processes for training solutions and special projects
- Prepares and distributes Certificates of Completion and digital badges for custom and consortium programs and microcredentials
- Provides support with the development and update of course outlines, online development courses and forms, etc.
- Collaborates with various schools and departments across the College to ensure smooth training delivery
- Provides support to Manager in the development, planning, analysis and verification of program and administrative budgets for cost centres
- Prepares accurate annual and biannual budget reports for actual and projected costs/revenue using PA1 and Excel
- Participates in internal, external, and social media marketing events to promote Custom Training Solutions
- Completes internet research on competition, regional and global trends, providing data in a clear, concise manner in order to support new program development
Qualifications: - Two-year Diploma in Office Administration, Business, Adult Education, Human Resources, Social Sciences or related field of study is required
- Minimum three years of practical work experience in a fast-paced, revenue generating department is required, preferably within an educational organization with an emphasis on independent problem-solving, interpersonal and administrative skills and liaison with internal and external contacts
- Ability to communicate effectively and respond with tact and diplomacy to clients, faculty, support staff and other external stakeholders
- High level of computer literacy and experience with databases, web-based systems – e.g., SharePoint, Zoom, Teams, Forms, GoToMeetings/Training, social media applications, CRM platform, Adobe applications and Microsoft Office Suite
- Knowledge of Conestoga College, consortiums and professional association programs
- High level of accuracy and attention to detail; follow-through is critical
- Ability to work independently using initiative to organize workload, meet multiple and simultaneous deadlines, and deal with changing priorities
- Ability to gather and compile data, track trends, research and prepare a wide variety of reports and documents
- Solve routine and non-routine problems on a daily basis, including dealing with difficult and demanding individuals
- Strong understanding of the need to maintain confidentiality and remain professional
- Experience with learning platforms (e.g., D2L) is an asset
- Access to reliable transportation and ability to travel to multiple campus locations or employer locations
