We are looking for a Proposal Coordinator to join our growing Canadian team in Ottawa/Gatineau, and support business growth in the Canadian market.

The Proposal Coordinator will work in a supportive role on assigned projects in physical security, cybersecurity, infrastructure engineering, aerospace, space, and/or public-sector proposals. While primarily supporting the development of Canadian business, the Proposal Coordinator may be asked to support RHEA’s global operations from time to time.

The Proposal Coordinator will use a combination of skills in administration, coordination, IT, design, data analysis, computer use, and technical writing during their day-to-day performance. You will have the opportunity to work in a challenging environment on high-profile proposals for clients in both the public and private sectors.

Tasks and Activities

The scope of work will include:

• Developing and maintaining templates, graphics, etc. for use in developing responses to Requests for Proposals.
• Collating completed proposals, reviewing and updating them for quality assurance and ensuring they’re complete before submission.
• Coordinating different contributions to proposals, liaising internally with contributors to ensure that their contributions are complete and received on time.
• Supporting the Director with Proposals Delivery and Sales Administration by monitoring proposal status and issuing updates accordingly.
• Performing quality assurance by reading and reviewing completed proposals prior to submission.
• Participating in writing proposal responses
• Analyze material, such as specifications, notes and drawings
• Conduct research to gather information on a specific field

Skills and Experience

The following skills and experience are mandatory:

• Minimum 1 year of experience as a proposal coordinator or proposal administrator.
• Excellent skills in MS Office (Word/Excel/PowerPoint).
• Available to work on-site in a hybrid environment (occasional).
• Fluent in English, both written and spoken.

The following skills and experience would be highly desirable:

• Knowledge and understanding of the Government of Canada RFP process.
• Experience responding to Government of Canada RFP’s.
• Be able to work in an autonomous manner in order to prepare responses to smaller proposals with limited guidance and support
