Operations Administrative Assistant Part-time M-F Working Conditions The Administrative Assistant will work from either the office located in St. Catharines and/or from home depending on the requirements of the job and management, starting 18-22.5 hours / week, Mon-Fri, 9 AM to 2:00 PM. This includes a 30 minute unpaid break which can also be used as two 15 minute unpaid breaks, or can be taken at the end of the day. Some Flexibility is available.

The Operations Administrative Assistant role ensures the efficient and smooth running of day-to-day operations.

Full job description Operations Administrative Assistant Job Description - Part-Time Position The Operations Administrative Assistant contributes to the efficient day-to-day operations of the company. The company runs vineyards and production of specialty food items. The Operations Administrative Assistant is required to perform a range of duties which include, but are not limited to: Communications with colleagues, customers, vendors and third party service providers Office administration Use computer word processing and spreadsheet programs (Numbers, Microsoft Word, Pages, Excel, Adobe suite and other office software) Order processing and completion (training provided) Shipping and customs documentation (training provided) Use of QuickBooks (training provided) Upkeep and updating of website (training provided) Editing and proofreading of documents Completion and upkeep of documentation for inventory, health and safety, HR Completion and submission of applications and forms Filing and maintaining organization of paper and digital records and resources Upkeep of the organization's records and resources, digital and hard copy Provide administrative support to management and employees Upkeep of office equipment and supplies Keep notes regarding daily office activities so follow-up by others can occur

Occasionally, the Assistant may be asked to run errands (e.g., to purchase supplies or go to the post office). Such tasks are to be completed in the most time efficient manner. Other duties and special projects may be assigned as necessary. Qualifications: Knowledge, skills and abilities The ability to communicate with a high level of articulation and precision in English is required. Strong proofreading and writing skills is required. French language skills would be an asset. Proficient in math skills such as calculation of freight costs, price per item, cost of purchasing, comparison of quotations, valuation of goods for commercial invoices, as well as reading, interpreting and preparing basic spreadsheets. Ability to evaluate costs of expenses or services in relation to a profitable business operation. Proficiency in the use of computer programs for: Microsoft Office Suite (Word, Outlook, Excel), Word Perfect Training for other programs used in the office will be provided Proficiency in the use of office equipment: Computer, Voice messaging systems, Fax, Photo copier, etc. Personal characteristics The Administrative Assistant will demonstrate competence in the following areas: Relationships: Maintain positive working relationships with others, both internally and externally. Genuinely helpful and supportive attitude with providing exceptional customer service and positive and productive interpersonal professional relations. Efficiency Reliable to undertake and complete duties well and on time. Excellent critical thinking and problem solving skills. Communication: Excellent oral and written communication skills. Teamwork: Work cooperatively and effectively with others to set goals, resolve problems, and make decisions to enhance organizational effectiveness; ability to undertake self-directed tasks when necessary, conscientiousness. Ability to follow up and make sure that other parties are completing requirements well and on time to further progress of a task or project. Willingness to learn, improve and evolve with the business.

Working Conditions further

The Administrative Assistant will be entitled to nine paid Statutory Holidays are as follows: New Years Day, Family Day, Good Friday, Victoria Day, Canada Day, Labour Day, Thanksgiving Day, Christmas Day, and Boxing Day. The office will be closed for two weeks over the holiday period December 23 - January 5. Pay will be provided for the 3 statutory holidays; the remaining days will be unpaid days should the Assistant choose to take the remainder of the days off. The Administrative Assistant will be entitled to 10 personal unpaid days off per year. Except in emergency situations, such time off should be discussed at least 5 business days in advance with management. Salary: $20.00 - $24.00 per hour (dependent on experience and qualifications). Salary and job performance will be reviewed on a yearly basis. Pay will be made on a bi-weekly basis on Friday for the biweekly period up to and including the previous Friday. Deductions as mandated by the Canada Customs and Revenue Agency will be made. Personal e-mailing, text messaging, personal internet use, and telephone calls are limited to break time only, except in case of emergencies.
