Our Vancouver office has an immediate opening for a Location Scheduling Specialist (LSS) for an 18-month maternity replacement contract with possibility of becoming a permanent employee afterwards. Under general supervision, the Location Scheduling Specialist provides complete administrative and technical support to a team of Field Engineers

The incumbent’s main responsibility is to assist our Field Engineers in improving their time with our clients while developing trusting relationships with the consultants, Group Manager for Field Engineer (GMFE), Operations Engineering Manager (OEM), and Location Scheduling Services Manager (LSSM).

The Location Scheduling Specialist will organize, prioritize, plan efficient travel and schedule client visits for a team of Field Engineers. LSSs maintain individual Field Engineers daily work calendars by ensuring there is an efficient and balanced workload. The LSS will create and distribute visit agendas, ensure visit orders are completed, closed, and establish the most efficient schedule for assigned Engineer. The LSSs are the liaisons between the office and Filed Engineers.

Incumbents interact with clients (internally and externally) every day. In many cases, they are the first contact that local site managers have with FM Global/AFM/MBRe. Incumbents are required to have strong customer service skills.

Incumbents are tasked in the field operations to support field engineering teams and office engineering functions.

• Bilingual – Fluent in spoken and written French and English
• Excellent computer skills particularly Microsoft Word, Outlook, Excel and PowerPoint
• Self-motivated and team-oriented with the ability to adapt and understand cultural differences.
• Attention to detail and proofreading skills.
• Strong problem-solving capability
• Strong planning and organizational skills with ability to prioritize tasks and meet deadlines.
• Excellent customer service skills, interpersonal and communication skills; oral and written.
• Ability to multi-task
• 4-year College Degree/Bachelors preferred. Combination of education and work experience will be considered.
• Minimum 2 years administrative experience supporting a work group and/or manager.
• Project coordination experience preferred.

This role requires simultaneous attention to many details, evaluating complex situations, and the ability to work with FM Global employees and clients. Excellent language skills, both oral and written are necessary. Much time is spent contacting clients to schedule client visits for Engineering Consultant. The successful candidate is detail oriented and has excellent organizational, problem-solving, and decision-making skill.
