Job Duties/Qualifications, Skills and Abilities(QSA)

Job Duties

Job Duties 1. Provide administrative and operational support to the manager, campus facilities, and facilities coordinator, ensure accurate attention to detail
2. Operate computer-based room allocation system and schedule classroom assignments according to yearly timetables and ongoing requests
3. Manage, with guidance from the Facilities Coordinator, parking and campus internal signage
4. Establish collegial working relationships with Saskatchewan Polytechnic faculty, staff and students, as well as Ministry of Central Services staff and campus visitors
5. Collect and compile information for the Regina Campus telephone directory, program schedule, etc
6. In consultation with the Facilities Coordinator develop, direct and monitor move schedules
7. Assist with planning and preparation of special events hosted by or through the manager, campus facilities
8. Perform minute taking and transcribing at meetings, and distribute minutes to participants in a timely manner
9. Classroom/meeting room/special event setup, which will include lifting and moving objects on a regular basis (furniture, desks, etc.)
10. Ability to travel off main campus to other campus training facilities to provide facilities related services
QUALIFICATIONS, SKILLS, ABILITIES AND EXPERIENCE

Specific Accountabilities
Duties
Required Qualifications, Skills and Abilities (QSA)1. Grade 12 and a recognized office administration or business certificate or an equivalent combination of education, training and experience, which must include training and/or experience in minute taking
2. Two years recent and relevant experience performing administrative and clerical work
3. Training and/or experience at the intermediate level in the use of common software packages, ie MS Office Suite
4. Knowledge of common office procedures
5. Effective interpersonal skills
6. Effective communication skills (both oral and in writing)
7. Effective organizational skills
8. Ability to work independently under generalized supervision
9. Valid Driver’s License
10. Demonstrates valuing diversity
