JOB DESCRIPTION
SkillPlan is a nationally recognized leader in workforce development services. We over 30 years of experience providing workforce development services and resources to the unionized construction industry, as well as other sectors.
We are looking for a dynamic, proactive and committed individual who will support SkillPlan’s workforce development services. The Executive Assistant will support SkillPlan’s operations by maintaining office systems and providing administrative support to the CEO, management and the wider team in key areas as required.
JOB RESPONSIBILITIES
Executive
- Manage executive calendars and set up meetings.
- Manage travel arrangements, including management of travel bookings, accommodation, itineraries, and calendars.
- Prepare, conduct research and edit communication material, including reports, training and promotional materials, PowerPoint presentations, assessments, proposals, taking meeting minutes, and other tasks as required.
- Event Management including arranging hotel room blocks, restaurant group bookings and private events, as well as coordinating stakeholders in a timely fashion.
- Act as registrar for conferences and large meetings. Occasional travel may be required.
- Act as the initial point of contact among executives, employees, clients, and other external partners
- Manage information flow in a timely and accurate manner.
- Compile statistics and reports on sales and activities using MS Access and Excel.
- Administer project management software.
- Participate as a SkillPlan team member in conceptualizing projects, timelines, and professional development activities when applicable.
Communication
- Monitor, develop, post and upload web and social media content as requested by SkillPlan management and approved by the CEO.
- Update and create promotional materials/advertisements for print and social media and use graphic editing software.
- Administer websites, social media, file sharing and other online accounts.
Office Administration
- Manage telephone, in-person, facsimile and email inquiries; vetting and prioritizing email and phone requests and distributing correspondence.
- Manage publication orders, including correspondence, invoicing, payment processing and shipping.
- Coordinate with clients and suppliers on layout, printing, and inventory.
- Arrange meeting spaces, catering, teleconferences, and online meetings.
- Maintain cleanliness and organization of the office in general including office filing system, office supply and equipment purchases, and maintaining the inventory rooms, board room, kitchen area, learning center and front desk.
- Support the team with material preparation including photocopying, mailing, binding, collating, and filing as requested.
- Troubleshoot IT problems and perform data backups.
- Maintain contact data for sales and other purposes.
- Carry out miscellaneous duties as required.
QUALIFICATIONS
- Advanced Microsoft Office skills, with the ability to become familiar with SkillPlan programs and software.
- Strong organizational, project management and problem-solving skills with exceptional multi-tasking, attention to detail and time-management abilities.
- Familiarity with office tools and applications.
- Excellent interpersonal, verbal, and written communication skills.
- Friendly and professional demeanour.
- Discretion and confidentiality.
- Great team player.
- Graphic editing software experience would be an asset
EDUCATION & EXPERIENCE
- A minimum of 4-5 years of work experience as an Executive Assistant, senior administrator, or similar role.
- Post-secondary education in executive and/or office administration or equivalent.
- Program Assistant diploma or certification is a plus.
- Post-secondary education in Communication is an asset.
- Customer service experience is an asset.
- Proficiency in Microsoft Office, SharePoint, Adobe and Canva is an asset.
OTHER
- Valid BC Driver's License
HOURS & DAYS OF WORK
- Full time, including occasional evenings, weekends, and overtime
- Flexible work schedule
- Potential occasional travel in BC and across Canada (in accordance with guidance from provincial and federal health authorities)
