Overview of the Position The Accounts Payable/Receivable Clerk is responsible for processing all domestic trade, freight and expense payable invoices and is responsible for maintaining the accuracy of customer commercial accounts. The successful candidate will be cross-trained in both the Accounts Payable and Receivable functions and will work in the area that corresponds to the organizations present needs.
KEY ACCOUNTABILITIES
Accounts Payable:
- Receives, verifies, and processes invoices for posting to the general ledger, ensuring compliance with financial policies and procedures
- Matches all trade and import purchase orders to invoices and packing slips
- Investigates and resolves variances and discrepancies through communication and follow up with internal and external teams
- Processes all operating expenses by inputting invoices or preparing uploads; submits to the correct department for approval
- Processes personal expense reports and payroll expenses for all locations
- Processes freight by matching ASN to inventory receivers
- Maintains accurate vendor information and listing of vendor accounts
Accounts Receivable:
- Enters and posts cheques, credit card and direct deposit payments to the general ledger
- Updates the POS system and follows up with stores on variances and training issues
- Prepares and balances bank deposit
- Processes all credit applications; contacts credit references, sets up accounts and emails approval/decline
- Maintains customer account information, keeping addresses, authorized users, purchase order requirements up to date; responds to all customer inquiries by phone/email
- Authorizes account overrides for customers
- Receives payments and troubleshoots issues for customers
- Processes refunds for incorrect payments or over payments on account
- Balances sub-ledger to the ledger daily and makes corrections as required
- Assists with collection of delinquent accounts and performs review of customer credit limit
Note: This position is an on-site role, based in our beautiful Home Office, which is located at 475 Panet Road, in Winnipeg.
KNOWLEDGE, SKILLS & ABILITIES
- Post-secondary education in administration is desired
- 1-2 years relevant experience is desired
- Proficient in Microsoft Office, including Word, Excel, and Power Point
- Excellent written and verbal communication skills
- Strong analytical skills
- Highly organized
- Fluency in French (reading, writing, speaking) is an asset
