Job Description:
We are currently seeking a highly organized and efficient Administrative Assistant to join the team at either the hospital or the CIUSSS in Pointe-Claire. The successful candidate will provide crucial administrative support to various departments within the hospital, ensuring smooth operations and exceptional patient care.

Responsibilities
Provide administrative support to hospital executives, managers, and staff, including scheduling appointments, managing calendars, and arranging meetings.
Assist in the preparation and distribution of correspondence, reports, and presentations.
Maintain and update patient records and databases in compliance with hospital policies and regulations.
Coordinate and schedule patient appointments, tests, and procedures as requested by medical staff.
Answer phone calls, greet visitors, and provide assistance or direct inquiries to the appropriate department or personnel.
Handle incoming and outgoing mail, emails, and faxes, ensuring timely and accurate distribution.
Assist with inventory management and ordering of office supplies, equipment, and materials as needed.
Collaborate with other hospital departments and external vendors to coordinate administrative tasks and projects.
Maintain confidentiality of patient information and adhere to privacy regulations
Perform other administrative duties and special projects as assigned by hospital management.
Qualifications
High school diploma or equivalent; additional certification in office administration or related field is a plus.
Proven experience as an administrative assistant or similar role, preferably in a healthcare setting.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and electronic medical records (EMR) systems.
Excellent communication skills, both written and verbal, with the ability to interact professionally with patients, staff, and external contacts.
Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.
Ability to maintain confidentiality and handle sensitive information with discretion.
Knowledge of medical terminology and healthcare administrative processes is preferred.
Ability to work independently with minimal supervision and as part of a team in a fast-paced environment.
